Description:
The Front Office team member serves as the first point of contact for patients and visitors at the Cibola Family Health Center. This role is responsible for providing courteous, efficient, and compassionate service while performing patient registration, scheduling, and administrative support functions. The position supports clinic operations by ensuring accurate patient information, smooth patient flow, and compliance with healthcare regulations.
Essential Duties and Responsibilities
- Greet patients, families, and visitors in a professional, respectful, and welcoming manner
- Register patients accurately in the electronic health record (EHR) system
- Verify patient demographics, insurance eligibility, and collect required documentation
- Schedule, confirm, and reschedule patient appointments
- Collect copays, deductibles, and outstanding balances in accordance with clinic policies
- Answer and route incoming phone calls, take messages, and provide general information
- Manage referrals, prior authorization documentation, and patient forms as assigned
- Maintain patient confidentiality and comply with HIPAA and clinic privacy policies
- Coordinate communication between patients, providers, and clinical staff
- Monitor waiting areas to ensure patient comfort and efficient flow
- Assist with scanning, filing, and maintaining accurate patient records
- Support Front Office Lead with administrative tasks, reporting, and process improvement efforts
- Perform other duties as assigned to support clinic operations
Required Qualifications
- High school diploma or GED required
- Minimum of one (1) year experience in a medical office, customer service, or administrative role preferred
- Basic knowledge of medical terminology and insurance processes preferred
- Proficiency with computers, EHR systems, and standard office equipment
- Strong verbal and written communication skills
- Ability to multitask and prioritize in a fast-paced environment

- Experience working in a rural health clinic or community healthcare setting
- Strong customer service orientation with a compassionate, patient-centered approach
- Attention to detail and high level of accuracy
- Ability to work effectively with diverse populations and underserved communities
- Dependability, professionalism, and strong teamwork skills
- Bilingual skills are a plus
