About This Position

Job Summary:

The Administrative Assistant is responsible for performing administrative functions related to ACS, including maintaining employee notes, scheduling, timekeeping, contract administration, and customer documentation. A key responsibility of this role is the effective management of ACS inventory and resale stock to ensure accuracy and availability. In addition, the Administrative Assistant maintains up-to-date procedure manuals, vehicle maintenance logs, reference materials, including Safety Data Sheets (SDS) and site instructions. This position is largely self-directed and requires a positive attitude, strong initiative, and the ability to work independently.

Essential Functions:

  • Performs all aspects of inventory management at two locations. Includes purchasing inventory as needed, receiving and storing items upon delivery, conducting regular counts of resale items and logging them in a spreadsheet, filing and sending shipping confirmations, and maintaining a clean and organized inventory space.
  • Ensures health and safety compliance in accordance with OSHA standards. Creates Safety Data Sheet packets for all new chemicals and new client sites.
  • Launder supplies, maintain equipment inventory, and delivery of supplies.
  • Processes daily billing events, including auditing supplier invoices and updating the billing calendar
  • Performs payroll, billing lockups, timekeeping, payroll differentials, and billing differentials.
  • Assists with recruitment, orientation, and training tasks for the division while utilizing an Applicant Tracking System
  • Assist with preparation for Biweekly Operational Meetings
  • Lock up employee shifts daily; call and verify with employee any discrepancies in schedule
  • Complete “Weekly Hours Spreadsheet”
  • Update employee schedule changes, time off requests, and lunch breaks in systems
  • Monitor overtime and report employee issues to Operations Manager
  • Maintain employee information and communicate changes to HR/Payroll
  • Maintain account information which may include customer notes
  • Communicate customer and employee complaints to Operations Manager
  • Maintain and ensure that forms, site instructions and keys are at the office, in vehicles, distributed to employees, and on client sites
  • Daily communication with Operations Team
  • Maintain Operations Manual and Procedures
  • Janitor Essential Functions:

  • Clean and restock restrooms with necessary supplies.
  • Clean building floors by sweeping, mopping, scrubbing, and/or vacuuming.
  • Spot-clean carpets.
  • Dust, polish, and clean baseboards, furniture, walls, equipment, and fixtures.
  • Clean windows, mirrors, and glass surfaces using appropriate cleaning agents.
  • Collect and dispose of trash and recycling.
  • Clear debris from indoor and outdoor areas.
  • Operate cleaning machinery and power equipment safely and efficiently.
  • Mix and use cleaning products and chemicals according to safety guidelines.
  • Move and transport furniture, supplies, and equipment manually or with hand trucks.
  • Restock cleaning supplies and equipment as needed.
  • Follow all safety procedures and use proper personal protective equipment (PPE).

    Minimum Qualifications:

    · Must be 21 years of age with a clean driving record

    · Ability to effectively communicate, both spoken and written

    · Proficient with smart phones and smart phone apps.

    · Self-motivated and continual improvement minded.

    · Approved criminal background and drug screen.

    · Ability to regularly lift and /or move up to 25 pounds.

    Education:

    · HS Diploma/GED Equivalent, additional education preferred

    Special Training/Skills:

    To perform this job successfully, an individual should have knowledge in the following areas:

    · Proficient with Microsoft Office Suite.

    · Ability to read, analyze, and interpret general business reports.

    · Ability to write reports, business correspondence, and procedures.

    · Attention to detail and high organization skills

    · Self-motivated and able to identify problems or things that don't make sense and provide solutions

    · Ability to work independently

    · Ability to read and follow instructions and safety guidelines.
