Job Description

Staffing Coordinator- Nursing Administration

Qualifications:

Required Minimum Education: High school graduate or equivalent required.

Preferred Education: Bachelors' degree in Human Resources or equivalent HR experience preferred

Required Minimum Experience: 3 years’ experience in talent acquisition, human resources, staffing, marketing, customer service or related department managing processes.

Required Minimum Skills: Ability to build, establish and implement processes. Ability to quickly adapt to changing priorities; highly flexible. Have a deep understanding of Administrative and HR policies and processes. Excellent communication skills and relationship management ability to work with employees at all levels. Ability to work with confidential and sensitive material; able to work with a high degree of accuracy, often in time-critical situations. Strong customer service background. Ability to work independently on a broad variety of projects. Ability to exercise effective judgement and sensitivity to changing needs and situations. Ability to run reports analyze data and make recommendations. Detail Oriented with the ability to quickly and effectively handle multiple priorities and assignments to meet deadlines while maintain professional composure. Navigation of and knowledge/skills associated with applicant tracking systems, recruiting, and employee records systems software preferred. Working knowledge of The Joint Commission Human Resources and Nursing area standards.

Responsibilities:

Contractor Onboarding Responsibilities:

  • Accountable for ensuring coordination and completion of all contractor preboarding activities for the system.
  • Communicates with contract companies regarding background checks, drug screens, employee health appointments/review of employee health information, coordinating candidate activities and progress through the preboarding process, ensuring entry of all appropriate contractor information.
  • Provides instructions to contract companies/contractors, regarding any documents to be completed.
  • Creates Contractor Orientation list, informs contract companies reps of potential barriers or missing documents so can be obtained in timely manner.
  • Communicates status with leaders and HR if delays are foreseen.
  • Distributes, manages and organizes missing items list of contractors
  • Collect, manages and validates outstanding items from contractors; BLS card, licenses, etc.
  • Reviews and finalize contractor files

Scheduling Responsibilities:

  • Coordinates the scheduling process of nursing units for the hospital and ensures all work is completed in a timely manner
  • Resolves scheduling issues with department directors/managers as needed
  • Reviews the units schedule for accuracy and completeness, referring back to the manager any necessary corrections required to assure appropriate staffing for that individual unit
  • Develops and maintains a process for two-way communication of schedule changes with the managers
  • Prepares and distributes unit specific reports on absent call-in, FMLA, overtime, sitter usage, etc.
  • Maintains the automated nursing scheduling system manuals and workbooks consistent with the system vendor’s most up-to-date release of the system
  • Actively participates in the development and revision of the policies relating to nursing staffing and scheduling
  • Demonstrates knowledge of the principles and policies that relate to staffing efficiency and its relationship to the automated scheduling system and recommended staffing ratios
  • Makes recommendations for any changes needed in staffing and scheduling processes and procedures to enhance the efficiency of the staffing office
  • Collaborates with Information Systems to ensure automated system functionality remains consistent with updates to meet staffing program needs
  • Serves as the liaison between the automated scheduling system account representative and Hospital leadership to ensure timely completion of updates, educational activities and software changes
  • Participates in the checks and balances that assure nursing schedules that are accurate and complete to ensure maximum efficiency and responsible use of Hospital resources
  • Performs daily adjustments for call-ins, census drops/increases, sitter needs, etc., on a shift-to-shift basis.
  • Conducts classes for all nursing personnel needing training on the use of automated staffing Program
  • Develops and maintains an auditing process for verifying schedule entries and correctness on a regular basis; providing variance reports after each scheduling period to document accuracy and change information
  • Actively participate in the resolution of discrepancies and scheduling system issues that may contribute to any discrepancies
  • Collaborates with managers and human resources to provide information on team members who have exhausted FMLA or LOA benefits, violated the absentee policy; have excessive use of over-time and unscheduled leaves-of absence

Customer Service:

  • Strong ability to communicate effectively and build trusting relationships with HR leaders,
  • department/unit/practice leaders, vendors, Supply Chain and Legal to ensure processes are
  • followed and sound.
  • Serves as a liaison and problem-solver for leader to ensure timely assignment and execution
  • of processes.
  • Develops reports as needed to assist customers with inquiries.
  • Responds to internal and externals customers in a timely manner.
  • Creates a work environment that promotes premier customer service standards.
  • Assures exceptional customer service always.
