We are seeking a high-level, strategically minded Senior Sales Support to work directly with our Director of Contracts and Sales Support (who currently serves as our interim Chief Operating Officer). In this pivotal role, you will serve as the primary conduit for all business communications flowing through the Director's office.
You will oversee and elevate our sales administration function, working alongside and providing senior-level guidance to our established Sales Support Specialist. The ideal candidate will bring senior-level administrative expertise, exceptional operational acumen, and the ability to manage complex business workflows and contract oversight in a fast paced environment. Key Responsibilities
• Executive & Operational Support: Act as the primary gatekeeper and manager for all business communications flowing through the Director/Interim COO's office; generate and distribute daily reports and action summaries to leadership.
• Workflow & Pipeline Coordination: Oversee the daily sales support pipeline, ensuring accuracy, efficiency, and alignment with operational goals; collaborate with sales and accounting to ensure a smooth order-to-cash process.
• Sales & Contract Oversight: Work closely with the Director to review high-level contracts, proposals, and complex agreements before final approval; assist with complex proposal preparation, including research and final assembly.
• Team Collaboration: Partner with and provide senior-level guidance to our existing Sales Support Specialist to optimize quoting, invoicing, and administrative workflows.
• Event & logistics Management: Oversee and support logistics for trade shows, customer demos, and internal/external events, including high-level travel coordination.
• Data & Expense Management: Ensure accuracy of customer data and sales activity records in our CRM (Quickbooks); oversee the tracking and consolidation of sales expenses and reimbursement requests.
Qualifications
• Experience: 5+ years of experience in senior administrative support, sales operations, executive assistance, or contract management.
• Education: Associate or Bachelor's degree preferred (Accounting, Business Administration, or related field); equivalent senior experience will be heavily considered.
• Communication: Exceptional written and verbal communication skills, with a proven track record of handling high-stakes business and client correspondence.
• Leadership & Autonomy: Strong ability to lead workflows independently, prioritize tasks under pressure, manage up effectively, and multitask with strict attention to detail.
• Technical Proficiency: Advanced knowledge of Microsoft Office (Word, Excel, Outlook) and CRM software (preferably QuickBooks) or contract management tools.
• Discretion: Absolute professionalism, confidentiality, and integrity when handling sensitive executive, corporate, and customer data.
