POSITION OVERVIEW

The Air Export Coordinator is responsible for supporting the Air Department Team function. The primary purpose is to coordinate assigned activities that occur within daily air export operations including any document preparation and air export of cargo to all countries working with our agents globally. Responsible for correctly processing export shipments in a cost-efficient manner within Company standards.

DUTIES AND RESPONSIBILITIES

  • Contact shippers to arrange pickups and obtain all necessary documentation.
  • Book shipments and discuss and confirm rates with airlines.
  • Ensure regulatory conditions are met, and precise documentation, including transit documents and customs clearances, exists for shipments.
  • Ensure documentation is precisely processed, distributed, and discharged to carriers, forwarders, customers and agents in a timely manner.
  • Prepare all significant data entry and confirmation of essential milestones (departure, arrival, customs clearance, PODs, etc.) as specified by Customer Standard Operating Procedures.
  • Prepare timely management information and reports as specified and requested by the Branch Manager.
  • Negotiate shipping rates and submit to Branch Manager for approval when necessary to be competitive.
  • Responsible for quoting inland and airfreight shipments.
  • Responsible for reliable communication and customer service as needed with a focus on air export compliance to meet client needs and expectations.
  • Understand the processes, documentation, and terminology involved in air freight from time of purchase order issuance through the delivery of the cargo.
  • Continuously review of freight costs to establish cost savings within the supply chain
  • Responsible for accurate documentation on shipments and documents to meet all customer SOP requirements: booking approvals, executing delivery and ensuring proper invoicing, billing and filing. (i.e. AES, KSMS, DGD, approvals)
  • Respond to complaints, demonstrate effort to seek help from upper management when needed; respond to customer emails request for shipment status and proof of delivery.
  • Use approved external providers as necessary to arrange transportation of goods. Quickly resolve any miscommunication and disputes to ensure safe on-time deliveries.
  • Apply industry knowledge and critical thinking to adapt processes and to create solutions in response to challenges both internally and externally.
  • Performs other related duties as assigned by management.

EDUCATION AND/OR WORK EXPERIENCE REQUIRED

  • Successful completion of high school, or equivalent, plus additional job-related coursework or specialized training.
  • Minimum 2-3 years of experience in Air Export.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Products and Cargo Wise software(s) programs or similar.
  • Strong organizational skills with the ability to multitask and prioritize

PHYSICAL REQUIREMENTS

  • Safely and successfully performs the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
  • Must be able to lift and carry up to 20 lbs.
  • Must be able to sit for prolonged period of time in office environment, desk setting
  • Must be able to talk, listen and speak clearly on telephone.
