Real Estate Maintenance Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Real Estate Maintenance Coordinator based in Mexico.

As a Real Estate Maintenance Coordinator, you’ll oversee property maintenance projects from initial request through completion, ensuring issues are resolved efficiently and professionally.
You’ll communicate daily with tenants, vendors, property stakeholders, and business owners in both English and Spanish.
The role combines customer service, project coordination, problem-solving, and detailed administrative organization.
You’ll manage work orders, maintain project dashboards, track repair progress, and ensure stakeholders receive timely updates.
Success in this position requires someone who can work independently, prioritize multiple requests, and take initiative when unexpected issues arise.
You’ll work remotely with a distributed team and use a range of property management, project management, and communication platforms.
This is a hands-on opportunity for an organized, proactive professional who enjoys helping people and improving operational processes.

Accountabilities
  • Manage maintenance and property-related projects from start to finish, ensuring timely completion and effective resolution of issues.
  • Coordinate work orders between tenants, vendors, property stakeholders, and other relevant parties.
  • Communicate professionally and courteously with tenants, vendors, business owners, and company leaders through email, phone, text, and virtual platforms.
  • Maintain and create project dashboards using tools such as Google Sheets, ClickUp, or comparable platforms, ensuring information, notes, and status updates remain accurate and current.
  • Monitor repair progress and update work-order statuses within property management software.
  • Respond to emails and service requests promptly, acknowledging requests within 24 hours.
  • Proactively identify problems, determine appropriate solutions, and make recommendations for process or operational improvements.
  • Build positive relationships with stakeholders through active listening, clear communication, professionalism, and a helpful approach.
  • Use new technology platforms confidently and adapt quickly to unfamiliar software and workflows.
  • Take ownership of assigned projects and follow through without requiring constant supervision.
Requirements
  • At least 2 years of experience in a customer-facing role requiring strong multitasking, organization, and communication skills.
  • Fluent English proficiency at C1/C2 level or higher.
  • Strong Spanish and English communication skills, both written and verbal.
  • Demonstrated ability to manage multiple tasks, projects, and stakeholder requests while maintaining attention to detail.
  • Strong organizational and project coordination skills, with the ability to keep dashboards, records, and updates accurate.
  • Full proficiency with AppFolio is required.
  • Working knowledge of Buildium is an advantage.
  • Familiarity with project management platforms such as ClickUp, Asana, Monday.com, or Microsoft Project is a plus.
  • Strong problem-solving skills and a proactive approach to identifying and resolving issues.
  • Excellent interpersonal skills, with the ability to maintain professional yet friendly relationships and communicate effectively with different audiences.
  • Comfortable learning new technology and adapting quickly to new software platforms.
  • Previous experience in property management, real estate, hospitality, or hotel operations is helpful but not required.
  • Able to work independently in a fully remote environment.
  • Must have a personal computer suitable for remote work and a reliable internet connection.
