Business Analyst, Veeva Migration / Business Analyst

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Business Analyst, Veeva Migration / Business Analyst based in United States.

As a Business Analyst, you will support critical Veeva Vault eTMF migration initiatives within a regulated life sciences environment.
You will help translate clinical and business needs into clear requirements, migration specifications, and actionable delivery plans.
The role spans migration planning, data mapping, validation, testing, reconciliation, and post-go-live stabilization.
You will collaborate with Clinical Operations, Quality, IT, vendors, and platform specialists to ensure migration outcomes are accurate and business-ready.
Your expertise will help protect data integrity, inspection readiness, compliance, and continuity throughout the migration lifecycle.
You will contribute to improving processes and resolving complex data and document issues across clinical systems.

Accountabilities
  • Partner with Clinical Operations, TMF, Quality, IT, vendors, and other stakeholders to gather, analyze, and document business and functional requirements for Veeva eTMF migration initiatives.
  • Support migration planning by defining scope, reviewing document metadata, developing source-to-target mappings, classifying documents, and assessing migration readiness.
  • Translate business requirements into functional specifications, user stories, process flows, test scenarios, traceability documentation, and other project deliverables.
  • Collaborate with technical teams on data extraction, transformation, loading, reconciliation, verification, and quality control of eTMF documents and metadata.
  • Support validation activities, including IQ/OQ/UAT planning, test script creation, test execution, defect tracking, and evidence review within GxP-regulated environments.
  • Contribute to Veeva Vault configuration discussions covering document types, lifecycles, workflows, roles, permissions, metadata, Expected Document Lists, and TMF Reference Model alignment.
  • Conduct data quality assessments and help resolve duplicate records, missing metadata, mapping inconsistencies, picklist mismatches, and document-level discrepancies.
  • Coordinate migration dry runs, UAT sampling, production migration verification, business sign-off, and readiness activities with relevant subject matter experts.
  • Maintain requirements documentation, migration specifications, test evidence, defect logs, support plans, and operational readiness materials.
  • Support go-live, hypercare, transition to support, and post-migration issue triage to maintain business continuity and encourage user adoption.
Requirements
  • 5+ years of experience as a Business Analyst, Functional Analyst, Technical Analyst, or Techno-Functional Analyst supporting clinical, regulatory, or GxP applications.
  • Hands-on experience with Veeva Vault Clinical Operations, preferably including Veeva eTMF, CTMS, Study Startup, or Site Connect.
  • Proven experience supporting eTMF migration initiatives involving document migration, metadata mapping, source-to-target reconciliation, and validation testing.
  • Strong understanding of Trial Master File processes, TMF Reference Model, document completeness, inspection readiness, audit trails, and clinical document lifecycle management.
  • Practical knowledge of regulated life sciences environments, including GxP, 21 CFR Part 11, Annex 11, validation, change control, and data integrity requirements.
  • Ability to create and maintain functional requirements, business process flows, data mapping rules, test cases, traceability matrices, and migration documentation.
  • Experience supporting UAT, defect management, production readiness, go-live planning, and hypercare activities.
  • Strong analytical, problem-solving, communication, organization, and stakeholder management skills.
  • Experience migrating content from legacy eTMF platforms such as IQVIA eTMF or similar clinical document repositories is a plus.
  • Familiarity with Veeva Vault Loader, migration-center tools, bulk loading processes, and document migration utilities is advantageous.
  • Experience with ALM, Jira, ServiceNow, or comparable tools for requirements management, testing, change management, and defect tracking is preferred.
  • Knowledge of clinical trial operations, study-level data, site documentation, monitoring documents, CRO user models, and inspection readiness is valuable.
  • A bachelor's degree in Life Sciences, Computer Science, Information Systems, or a related discipline is preferred; equivalent experience may be considered.
