This role sits at the heart of medical communications project delivery, supporting cross-functional teams in the coordination and execution of scientific and publication-related projects. You will play a key role in ensuring that timelines, budgets, documentation, and submission processes are managed with precision and consistency. Working closely with project managers, medical writers, and external stakeholders, you will help maintain smooth operational flow across multiple client accounts. The environment is fast-paced, detail-driven, and highly collaborative, requiring strong organizational skills and a proactive mindset. You will contribute to the preparation of scientific manuscripts, abstracts, and presentation materials while ensuring compliance with formatting and submission standards. The role also involves financial tracking, meeting coordination, and maintaining project systems and databases. - Support account and project teams in the coordination and execution of medical communications projects within defined timelines and budgets.
- Maintain and update project tracking tools, status reports, documentation systems, and internal/external databases.
- Assist in the preparation and formatting of manuscripts, abstracts, presentations, and scientific materials according to journal or client guidelines.
- Coordinate submission processes, including abstracts and manuscripts, ensuring all supporting documentation is complete and accurate.
- Manage meeting logistics, including scheduling, agendas, materials preparation, minutes, and follow-up actions for internal and client discussions.
- Support financial tracking activities such as budget monitoring, invoice coordination, expense tracking, and reconciliation.
- Handle administrative and operational tasks such as archiving, filing systems, correspondence, and team coordination support.
- Degree in Life Sciences, Pharmacy, Marketing, Business, or a related field preferred.
- Previous experience in project coordination, medical communications, publishing, or pharmaceutical services is an advantage.
- Strong proficiency in MS Office tools (Word, PowerPoint, Excel, Outlook) and familiarity with databases and tracking systems.
- Excellent organizational and multitasking skills with the ability to manage multiple projects and deadlines simultaneously.
- Strong attention to detail, accuracy, and ability to work with scientific and technical documentation.
- Effective communication skills in English, both written and verbal, with a professional and clear style.
