Job Description:
MEP Procurement Coordinator
Location: Remote, US | Type: Full-time

The primary purpose of this role is to support the procurement and execution of critical mechanical and electrical equipment packages by assisting the MEP Procurement Managers. This includes coordinating the RFP process, managing vendor interactions, and ensuring accurate and timely documentation within project systems. This position plays a key role in organizing bid information, validating scope alignment with design requirements, and facilitating smooth communication between vendors and internal stakeholders. By supporting Procurement Managers and participating in coordination efforts, this role helps ensure that equipment procurement activities are executed efficiently, consistently, and in alignment with overall project objectives.

In addition to supporting Procurement Managers in day-to-day activities, this position is designed as a developmental role with the long-term objective of building the skills, knowledge, and experience necessary to transition into a Procurement Manager position. Through hands-on involvement in procurement workflows, vendor coordination, and project execution, the individual is expected to grow within the organization, take on increasing levels of responsibility, and support ongoing career advancement.

RESPONSIBILITIES

  • Develop and issue Request for Proposals (RFPs) for mechanical and electrical equipment procurement packages.
  • Support vendors throughout the RFP process by clarifying scope, assisting with interpretation, and coordinating responses to vendor inquiries in alignment with Procurement Managers.
  • Receive, track, and organize vendor bids, ensuring all submissions are properly documented and stored in accordance with project and procurement standards.
  • Perform high-level scope reviews of vendor proposals to confirm compliance with design requirements, including verification of key components such as startup services, commissioning support, owner training, spare parts, warranties, factory witness testing, and freight.
  • Establish and maintain project directories in Procore, including accurate set up of vendor contacts and documentation.
  • Prepare vendor commitments and purchase orders in Procore for Procurement Manager review, incorporating all required inputs prior to final approval.
  • Provide ongoing support to MEP Procurement Managers with administrative and project-related tasks as needed.
  • Participate in vendor de-scope, alignment, and coordination meetings to support scope clarification and project execution.
  • Develop and maintain comprehensive procurement tracking matrices for each project to ensure visibility into procurement status, milestones, and key deliverables.
  • Support MEP Procurement Managers in the development of standardized project procurement templates, including pre-populating critical information to facilitate efficient use and implementation.
  • Develop and maintain an approved supplier list (ASL) for each strategic Electrical and Mechanical sub-category.
  • Participate in handoff meetings with Logistics Project Managers after full execution of each vendor Purchase
  • Order to formally handoff job responsibilities from the MEP Procurement team to the Logistics Project Manager.
  • Support Logistics Project Manager’s from time of vendor PO execution through project completion as required.
  • The Procurement Coordinator is to escalate any issues/concerns, specifically ones that may have a detrimental impact on a project and immediately bring those issues/concern(s) to the Logistics Director’s attention.
  • Assist with developing and implementing tools and metrics to evaluate and monitor key category supplier performance (i.e. Develop Key Performance Indicators, otherwise known as KPIs and Vendor Scorecards).
  • Establish strategic relationships with key category suppliers, using a hierarchical communication protocol, to enable access where required to deliver results.
  • Promote continuous value improvement for each sub-category, maintaining a tenacious focus on total cost of ownership (quality, lead-time, service, and price).
  • Travel as required (~25%) to maintain internal stakeholder and key supplier relationships.
  • Maintain appropriate sourcing and supplier management records, by project and by vendor, and prepare reports for vendor performance reviews and internal strategic sourcing meetings.
  • Perform general office duties relating to their responsibilities, including:
  • Correspondence and filing
  • Minutes of meetings
  • Preparation of reports and documentation
  • Updating of electronic records
  • Vendor administration
  • Issue escalation process and updates
  • Interface with vendors, customers, executives, Facilities Management and Construction Services teams, leadership, and internal finance team to address and resolve any inquiries or issues
  • Perform other duties as assigned by the Logistics Director.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in Supply Chain Management, Construction Management, Engineering, Business Administration, or a related field is preferred, but not required.
  • Relevant experience may be considered in lieu of formal education.
  • Candidates should ideally have 1 - 2 years of experience in construction, procurement, logistics, or a related field; however, entry-level candidates will also be considered
  • All candidates should demonstrate a foundational understanding of construction processes, project coordination, or vendor management, along with strong organizational and communication skills
  • Experience with procurement workflows, bid management, or project documentation systems (e.g., Procore or similar platforms) is a plus but not required.
  • A willingness to learn, attention to detail, and the ability to manage multiple tasks in a fast-paced environment are essential. This role is designed to support professional development and growth into a Procurement Manager position over time.
