SUMMARY

The Export Documentation Specialist / Trading Assistant owns and manages the end-to-end operational and documentation flow required to execute domestic and international agricultural trades. This role works at the intersection of regulatory compliance, and commodity trade execution, ensuring shipments move efficiently across complex international supply chains.

The position supports global trade activity where freight markets, tariffs, vessel schedules, weather disruptions, and international regulations can materially impact shipment execution and customer outcomes on a daily basis. Successful candidates will be comfortable managing multiple moving pieces across compliance, documentation, and commercial operations in a constantly shifting international trade environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Manage trade documentation and compliance requirements, including export certificates, letters of credit, and other regulatory documentation

• Communicate with suppliers, customers, and service providers - both domestic and international - as well as internal teams to keep shipments moving efficiently

• Create and distribute contracts to the supplier/customer outlining details of the transaction

• Daily settlement of inbound and/or outbound loads

• Enter transaction details into our proprietary software; update as necessary

• Monitor inventory levels, shipment activity, contract execution, and operational reporting to

support trading activities

• Receive and process invoices from vendors; work with accounting to process payments, timely and accurately

• Generate and send billing to appropriately account for sales; ensure pertinent backup accompanies invoices

• Identify and resolve operational issues related to documentation, logistics, billing, shipment

timing, and trade execution

• Communicate with facilities, customers, transportation providers, traders, and accounting to ensure pertinent information is effectively relayed across all

• Support multimodal logistics coordination across truck, rail, drayage, barge, and ocean transportation networks;

• Generate reports daily/periodically to update the trader on several key items including inventory, logistics, and contracts

• Perform other administrative tasks as needed to support the trading group or other areas of the organization

REQUIRED EDUCATION AND EXPERIENCE

• High School Diploma required; Associates Degree preferred in Accounting or general business

• 2+ years’ work experience; preferably in an administrative environment with exposure to accounting or inventory management

• Intermediate proficiency in the Microsoft office suite, particularly Excel

• Previous experience working with software to track and manage data

Ability to prioritize tasks and stay organized

• Great attention to detail

• Ability to understand and adapt to unique company structure to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

• Ability to work with mathematical concepts; apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Works well with internal staff and external vendors and customers

• Lead and assist in special project requirements and execution as needed

SUPERVISORY RESPONSIBILITY

None

POSITION TYPE AND EXPECTED HOURS OF WORK

This is a full-time, hybrid position. Typical hours of work are Monday through Friday from 8:00am –

4:30pm and may fluctuate with business needs, at the direction of or with managerial approval.


TRAVEL REQUIREMENTS

No travel is expected for this position.
