This role plays a key part in supporting the planning and execution of large-scale live events, expos, and brand activations for globally recognized clients. You will work closely with production leaders to ensure smooth coordination across all phases of event delivery, from pre-production planning to onsite execution. The position requires strong organizational skills, attention to detail, and the ability to manage multiple moving parts in fast-paced environments. You will help maintain schedules, workflows, and operational readiness while ensuring alignment across internal teams, vendors, and logistics partners. This is a highly collaborative role where clear communication and proactive problem-solving are essential. You will also contribute onsite, helping ensure flawless execution of high-profile experiences. The environment is dynamic, deadline-driven, and centered on delivering impactful, world-class events.
- Support end-to-end production workflows for live events, activations, and expos from planning through onsite execution
- Develop, maintain, and update production schedules, calendars, and workback timelines using tools such as Excel and Google Sheets
- Coordinate travel, housing, meals, and logistics for production crews and event teams
- Assist producers and executive producers with project coordination, meeting preparation, agendas, and documentation
- Maintain vendor databases, project files, and post-event archiving and backup systems
- Liaise with internal teams and external vendors to ensure deliverables are tracked and executed correctly
- Provide onsite production support for assigned events, including small activations or breakout sessions
- Monitor workflows and ensure alignment with internal best practices, standards, and operational processes
- 3+ years of experience in production coordination, event production, or related operational roles
- Strong organizational skills with the ability to multitask and manage competing deadlines in fast-paced environments
- Proficiency with business productivity tools including Google Workspace, Microsoft Office, and spreadsheet-based tracking systems
- Excellent written and verbal communication skills with a professional and collaborative approach
- Self-starter mindset with the ability to work independently with limited direction
- Strong attention to detail and ability to maintain accuracy under pressure
- Ability to support onsite event execution, including occasional travel up to 50% annually (US passport required)
- Strong problem-solving skills and ability to respond quickly to operational or logistical challenges
- Understanding of production workflows, vendor coordination, and event logistics is highly valued
- Competitive annual salary range of approximately $67,000–$69,000
