Job Description
SUMMARY: Primary responsibility: To assist the Customer Service team by processing and send requested invoices. Handle orders expedite and status requests. Enter RMAs and handle credit request processing. Research short shipments by working with plants, CSAs, and customer. Research payment deductions (short pay) by working with customer, accounting, and CSAs. Assist the Customer Service team by monitoring and distributing orders/quotes from the customer service general e-mail repository (back up).
ESSENTIAL DUTIES AND RESPONSIBILITES: include the following. Other duties may be assigned.
1. Works with customers and plants to fill order expedite requests.
2. Provide copies of invoices as requested.
3. Enter RMAs, order returns, in a timely manner, as per the request from Customer Service Agent.
4. Process credit requests from RMA’s and Customer Service Agents.
5. Research discrepancies in short paid invoices and takes the necessary actions to resolve with customer and accounting department.
6. Works with customers, plants, and respective CSA on short shipments.
7. EDI and order entry duties (back up).
8. Monitor and distribute orders and quotes from the customer service e-mail repository (back up).
9. Perform other duties as assigned.

EDUCATION AND/OR EXPERIENCE: High school diploma or general education degree (GED) AND three or more years of related office/clerical experience OR two or more years of formal training/education beyond High School (GED) AND one or more years of related office/clerical experience. Demonstrated competency in the use of office equipment and computers for keyboarding, data entry and retrieval of information, including Microsoft office software (word, excel, etc.).
LANGUAGE SKILLS: Ability to effectively communicate information and respond to inquiries, verbally and in writing, from employees, managers and sales staff. Ability to read, analyze, and interpret general business correspondence and instruction manuals.
MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, and percentages.
REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where standardization generally exists. Ability to grasp exception items and seek guidance when creating new processes or standards of operations. Ability to interpret a variety of instructions furnished in written, oral, or diagram format.
PHYSICAL DEMANDS: While performing the duties of this job, the employee is frequently required to sit. The employee is occasionally required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; and talk and hear. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, and depth perception.
