Job Summary
The Travel and Office Coordinator is responsible for supporting day-to-day business operations and ensuring internal processes run smoothly across teams. This role plays a key part in coordinating corporate travel, managing office operations, maintaining vendor and expense records, and providing administrative support to leadership and revenue teams. The impact of this role is felt across the organization by keeping teams organized, supported, and able to focus on their core responsibilities.
Responsibilities and Duties
• Coordinate and manage travel arrangements for revenue teams, customer success teams, and executives, including flights, hotels, rental vehicles, and travel schedules. Partner with the Logistics Coordinator as needed to support travel-related needs for field personnel.
• Maintain organized and accurate travel plans and assist with travel-related changes or issues.
• Oversee office operations, including office supplies, vendor coordination, and workplace organization.
• Support onboarding logistics for new hires, including workspace preparation, equipment requests, and cross-functional onboarding support.
• Assist with administrative and operational tasks across departments.
• Manage office-related purchasing and small orders; support procurement activities as needed.
• Maintain vendor records and assist with vendor onboarding, documentation, and communications.
• Track and reconcile office-related expenses, receipts, and invoices; support expense reporting and budget tracking as needed.
• Coordinate facility-related needs, including repairs, maintenance, and cleaning services.
• Greet and assist visitors, candidates, and guests as needed.
• Support special projects and other duties as assigned.
What You Bring
Required:
• Strong organizational skills with exceptional attention to detail.
• Ability to manage multiple priorities and adapt to changing business needs.
• Experience coordinating travel, scheduling, office administration, or operational support activities.
• Proficiency with Microsoft Outlook, Word, Excel, Teams, and other business software applications.
• Strong communication and interpersonal skills with the ability to collaborate across teams.
• Demonstrated customer-service mindset with the ability to respond professionally and efficiently to employee and leadership needs.
Preferred:
• 2+ years of experience in a travel coordination, administrative, office operations, or related role.
• Experience supporting multiple departments or leadership-level employees.
• Familiarity with travel booking platforms and expense management systems.
• Experience supporting invoice processing, expense tracking, or vendor management activities.
• Experience working in a fast-paced, growing organization.
