North American Dental Sleep Management (NADSM) is an administrative and management services organization dedicated to supporting a growing network of Dental and Sleep Medicine PLLCs across the country. We partner with dental and sleep medicine providers to deliver the operational infrastructure, administrative expertise, and management support they need to focus on what matters most—providing exceptional patient care.

Position Summary

North American Dental Sleep Management is seeking an organized, patient-focused Patient Scheduling Coordinator to join our growing team in the Austin area.

As the first point of contact for many of our patients, you'll play an important role in creating a seamless and welcoming experience. You'll coordinate appointments, communicate with patients, and work closely with providers and clinical teams to ensure schedules run efficiently. Your ability to stay organized, communicate effectively, and provide exceptional customer service will directly contribute to outstanding patient care.

What You'll Do

Patient Scheduling & Coordination

  • Schedule new and returning patient appointments while maximizing provider availability.
  • Coordinate follow-up visits, consultations, sleep studies, and additional appointments as needed.
  • Maintain accurate provider schedules and make adjustments based on operational needs.
  • Ensure appointments are scheduled appropriately based on provider recommendations and treatment plans.

Patient Communication

  • Contact patients to confirm, reschedule, or cancel appointments.
  • Answer questions regarding appointment details, scheduling, and next steps in the treatment process.
  • Provide friendly, professional, and compassionate customer service during every interaction.
  • Help patients feel informed and supported throughout their care journey.

Office & Administrative Support

  • Monitor daily schedules to help minimize wait times and improve workflow.
  • Support patient check-in and check-out processes when needed.
  • Answer incoming phone calls and route inquiries appropriately.
  • Maintain accurate patient records within the electronic health record (EHR) system.
  • Assist with additional administrative projects to support the practice.
Requirements:
  • High school diploma or equivalent required.
  • Previous experience in medical scheduling, patient coordination, medical reception, or healthcare administration preferred.
  • Experience with electronic health records (EHR) and scheduling software preferred.
  • Proficiency with Microsoft Office Suite and standard office equipment.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Exceptional customer service with a compassionate and professional demeanor.
  • Ability to work independently while collaborating effectively with a team.
  • Strong attention to detail and problem-solving skills.

Schedule & Work Environment

  • Full-time position, Monday through Friday.
  • Position is based in one of our Austin-area offices (Cedar Park, Central Austin, or South Austin).
  • Occasional travel between practice locations may be required to support operational needs.
  • Office-based role involving computer work, phone communication, and frequent interaction with patients.
