This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Loan Officer Assistant (Lead to Contract) based in the United States.
This role supports loan originators throughout the early stages of the mortgage lending process, helping turn prospective leads into well-prepared loan opportunities. You will serve as a key point of contact for customers and referral partners while coordinating appointments, documentation, credit reviews, and pre-qualification activities. The position combines customer service, administrative coordination, mortgage lending knowledge, and sales support in a fast-paced, metrics-driven environment. You will help ensure loan files are accurate, complete, and progressing efficiently toward contract. Success requires strong organization, responsiveness, attention to detail, and a commitment to delivering an excellent customer experience. - Serve as a primary customer contact for licensed activities on behalf of the loan originator, providing timely communication and keeping customers informed throughout the applicable stages of the process.
- Support lead-to-contract activities by responding to new leads within 20 minutes, scheduling and confirming appointments, managing calendars, and working toward established lead-to-appointment conversion targets.
- Maintain lead trackers, customer databases, and other platforms while sending online pre-qualification links and keeping client information accurate and current.
- Assist loan originators with obtaining complete and accurate Uniform Residential Loan Application (1003) information and collecting supporting documentation required for pre-approval.
- Review customer credit and financial scenarios, run credit reports and automated underwriting system (AUS) findings, prepare initial fee worksheets, and update relevant loan information.
- Monitor pre-approved clients and referral sources through regular status updates and follow-up calls to maintain engagement and move opportunities forward.
- Provide pricing and rate information in accordance with established policies and communicate applicable fees to the operations team.
- Support rate-lock communications and customer discussions within the scope of applicable licensing, regulatory, privacy, and safeguarding requirements.
- Maintain strong relationships with referral sources through responsive service, professional communication, follow-up, and client appreciation activities.
- Provide marketing and administrative support by coordinating approved advertising materials and managing compliance-approved email marketing campaigns for real estate professionals.
- Stay current with approved lending programs, software systems, procedures, and process changes, helping implement new tools and workflows for the team and customers.
- Maintain accurate records and perform data-entry and administrative activities using Microsoft Office, PDF software, cloud-based platforms, and other third-party systems.
- Escalate complex issues appropriately and follow established policies, investor underwriting guidelines, and regulatory requirements, including restrictions on submitting documents to underwriting or ordering certain non-third-party verifications.
- Perform additional responsibilities as assigned while maintaining a high standard of integrity, professionalism, responsiveness, and customer service.
- Active NMLS/MLO licensing is required.
- High school diploma or equivalent preferred, with at least two years of experience in mortgage lending or a related field.
- Strong understanding of mortgage lending processes, customer qualification, credit review, pre-approval activities, and loan origination support.
- Excellent verbal and written communication skills, with the ability to communicate professionally with customers, loan originators, referral partners, and internal teams.
- Highly organized and detail-oriented, with the ability to manage multiple priorities and maintain accuracy in a fast-paced, metrics-driven environment.
- Strong sense of urgency, responsiveness, and accountability when managing customer and lead follow-up.
- Proficiency with Microsoft Word, Excel, Microsoft Office Suite, PDF software, collaborative cloud platforms, and third-party business applications.
- Basic mathematical skills and strong data-entry capabilities.
- Demonstrated customer-service mindset, patience, professionalism, and ability to handle sensitive customer interactions appropriately.
- Strong ethical standards and commitment to integrity, respect, collaboration, continuous learning, and service excellence.
- Ability to work with limited independent judgment within established procedures and escalate complex matters when additional guidance is required.
- Ability to work primarily in a sedentary office environment with frequent use of computers, keyboards, and mice.
- Availability to work in a U.S.-based professional environment; travel is not expected for this position.
- Target salary range of $21–$25 per hour, depending on experience, education, and geographic location.
