Job Description

SUMMARY:

The HR & General Services Administrative Assistant provides day-to-day administrative support for human resources functions and oversees general services operations. This role ensures smooth workforce management, compliance with company policies, and efficient coordination of facility and support services within a plastics extrusion manufacturing environment.

DUTIES & RESPONSIBILITIES:

Human Resources Support

  • Assist with recruitment activities, including posting job ads, scheduling interviews, and maintaining candidate records.
  • Coordinate onboarding and offboarding processes for employees.
  • Maintain and update employee files and HR databases.
  • Support payroll processing preparation (timesheets, attendance tracking, leave records).
  • Administer employee benefits and respond to routine employee inquiries.
  • Assist in enforcing company policies, procedures, and safety regulations.
  • Coordinate employee training sessions and maintain training records.
  • Help organize employee engagement initiatives and internal communications.
  • Serve as the backup payroll administrator when needed.

General Services & Office Administration

  • Manage front office operations, phones, mail, and visitor coordination.
  • Order and maintain office supplies, PPE, and breakroom materials.
  • Coordinate facility-related services (cleaning, waste, building maintenance, security, etc.)
  • Support company events, meetings, and employee activities.
  • Track vendor contracts, service schedule, and invoices related to general services.
  • Assist with plant access control, badges, and keys.

Administrative & Operational Support

  • Prepare reports, correspondence, and HR documentation.
  • Maintain filing systems (physical and digital) with accuracy and confidentiality.
  • Assist management with data tracking and compliance reporting.
  • Coordinate travel and accommodation arrangements when required.
  • Process expense reports and invoices.
  • Provide general administrative support to management and department leads.
  • Support basic safety, housekeeping, and workplace organization initiatives.

Performs other related duties as assigned by management.

SUPERVISORY RESPONSIBILITIES:
  • This position does not have any direct reports.
REQUIRED QUALIFICATIONS:
  • High School Diploma or equivalent.
  • Minimum of 2 years of experience in HR administration, office administration, or a similar role.
  • Working knowledge of HR processes, employment practices, employment laws, and workplace safety standards.
  • Computer skills required:
    • Microsoft Office 365 including Outlook, Word, Excel, PowerPoint, and Teams
    • Experience with attendance or payroll systems, timekeeping, or HRIS (preferably ADP)
  • Other skills required:
    • Strong organizational and time management skills.
    • Excellent communication and interpersonal skills.
    • Ability to handle sensitive information with confidentiality.
    • Organizational skills and high attention to detail and accuracy.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Ability to multitask in a fast-paced environment.
PREFERRED QUALIFICATIONS:
  • Associate or bachelor’s degree in Human Resources, Business Administration, or related field.
  • Experience working in a manufacturing or industrial environment.
  • Experience supporting hourly manufacturing employees.
  • Knowledge of OSHA or manufacturing safety policies.
  • Vendor coordination or facility management experience.
PHYSICAL DEMANDS & WORK ENVIRONMENT:

This position will be located in a normal office environment and may be required to visit the shop floor as needed. The work schedule for this position will be 1st shift hours of 8:00 AM to 5:00 PM Monday through Friday with a 1-hour unpaid lunch break. Overtime may also be required based on business conditions. While performing the duties of this job, the noise level in the work environment is moderate with occasional loud noise. Frequently required to talk, hear, walk, sit, and stand. Occasionally required to climb, balance, bend, stoop, kneel or crawl. When on the shop floor, may work near moving mechanical parts and may occasionally be exposed to fumes, airborne particles or toxic chemicals. May require occasional lifting of supplies or materials, therefore, must be able to lift and/or move up to 50 pounds.

HEALTH & SAFETY REQUIREMENTS:
  • Perform job functions in a safe manner.
  • Wear all Personal Protective Equipment (PPE) required by Company policy for the job being performed.
  • Know and follow established job-specific and facility wide safety and health procedures and rules.
  • Actively participate in safety and health training and demonstrate competency based on training received.
  • Brings safety and health issues, unsafe acts, and safety suggestions to management’s attention or correct those you can upon observation.

PAY:

Pay is provided on a bi-weekly basis and there are 14 days in the pay period, beginning on a Sunday and ending on a Saturday.
