Description:

This role enhances attorney effectiveness by providing information management and transactional support to ensure the efficient operation of the Business Transactions practice group in our downtown Tampa Office. The Business Transactions Legal Assistant maintains organization of client matters, providing administrative support to attorneys and paralegals in meeting deadlines, anticipating needs, and enhancing client relationships through highly professional communication.

Requirements:
  • Schedule and calendar deadlines, hearings, depositions, closings, and trial-related events
  • Ensure accurate entry and organization of all case documents in the Firm’s document management system
  • Draft, format, and proofread pleadings, motions, and other legal correspondence
  • Coordinate preparation of charts, graphs, and other courtroom visuals
  • Conserve attorney time by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents; collecting and analyzing information; organizing client conferences; scheduling couriers, court reporters, expert witnesses, or other
  • Record and monitor court appearance dates, pleadings, and filing requirements; anticipate changes in litigation or transaction preparation requirements
  • May input attorney time and reimbursable expenses
  • Maintain client confidence by keeping attorney/client information confidential
  • Coordinate with clients, courts, and opposing counsel in a professional manner
  • Support conflict checks and new matter intake processes
  • Other duties as assigned

QUALIFICATIONS

  • Minimum of 3 years’ experience as a Legal Assistant, ideally within probate litigation, private client services, or business transactions
  • High school diploma required
  • Proactive, organized, and detail-oriented
  • Proven proficiency in case management, discovery coordination, and trial preparation
  • Strong knowledge of court filing procedures (both electronic and in-person)
  • Excellent communication skills and ability to handle sensitive information with discretion
  • Highly organized, deadline-driven, and able to work both independently and collaboratively
  • Technical proficiency in Microsoft Office and document management systems
  • Accuracy, quality work product; strong attention to detail
  • Works effectively as a team member, in support of overarching goal of excellent client service
