General Position Summary

The Exemption/Customer Service Clerk is selected by the Departmental Supervisors and works under direct supervision of Records Management Supervisor. The Exemption /Customer Service Clerk is responsible for presenting a courteous and knowledgeable demeanor to all customers.

Duties and Responsibilities

  1. Process Exemptions Daily: Enter exemptions into the system every day and manage all related correspondence.
  2. Update Account Changes: Review account reports to process name or address updates, applying an "exemption reset" status to expiring exemptions or removing them as the database cycle requires, and managing Intent to Return accounts.
  3. Review Vital Records: Audit daily obituaries and monthly death lists from the City of Amarillo and the City of Canyon to update account statuses.
  4. Provide Customer Service: Serve as the initial contact at the front counter, switchboard, and through correspondence. Maintain a strong working knowledge of property tax laws regarding exemption qualifications and amounts to answer general questions.
  5. Utilize GIS Mapping: Locate real property using GIS software and accurately identify properties by legal description or physical location.
  6. Navigate Inquiry Databases: Demonstrate complete proficiency in system inquiry programs to retrieve and explain relevant account data to customers.
  7. Administer Tax Deferrals: Enroll eligible taxpayers in deferral programs and distribute all necessary information to tax offices, attorneys, and required stakeholders.
  8. Route Specialized Inquiries: Efficiently transfer calls or connect customers with the appropriate department or employee for highly specific information.
  9. Follow Management Guidance: Receive and execute direct instructions and feedback from Departmental Supervisors and management staff.
  10. Support District Operations: Maintain a willingness to assist team members with various daily tasks necessary for the overall operation of the Appraisal District.
  11. Process Returned Mail: Update system databases with accurate address changes based on returned mail.
  12. Collaborate with Teams: Work productively and cooperatively within a professional team environment.

Education and Experience

Graduation from a standard high school or equivalent.

Desirable Knowledge, Abilities, and Skills

  1. Must earn an acceptable score on the five skill tests: Numerical, Alphabetical, Name Checking, Number Checking, and Number Facility.
  2. Possess knowledge of modern office practices, including working proficiency in Microsoft Office and Excel.
  3. Demonstrate the ability to accept responsibility and adapt positively to changing situations.
  4. Be able to establish and maintain effective working relationships with coworkers, management, and the public.
  5. Work effectively in a team environment.
  6. Perform any additional duties necessary to support the goals of the Appraisal District.
