Manager, Operations

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Manager, Operations based in United States.

This is a hands-on operations and project management role supporting multiple concurrent initiatives in a fully remote, mission-driven environment.
You will turn complex or ambiguous requests into structured projects, clear priorities, actionable plans, and measurable outcomes.
The role combines project execution, cross-functional coordination, process improvement, executive support, and operational organization.
You will build and manage detailed project plans, sequence dependencies, track milestones, surface risks, and drive initiatives through completion with minimal oversight.
The position also offers the opportunity to contribute to program and project delivery work when organizational priorities require additional support.
You will help strengthen the department’s systems, documentation, collaboration practices, and use of modern Microsoft and AI-enabled tools.
The ideal candidate is highly organized, proactive, self-directed, and energized by managing multiple workstreams while creating clarity and momentum.

Accountabilities
  • Own assigned internal projects and programs from intake through close-out, ensuring work progresses efficiently without requiring daily direction.
  • Translate operational initiatives into fully structured project plans using Monday.com or comparable project-management platforms, including phases, tasks, owners, dependencies, and milestones.
  • Break ambiguous requests and complex initiatives into clearly defined actions, responsibilities, deadlines, and deliverables.
  • Map dependencies and critical-path milestones to ensure project sequencing reflects operational realities.
  • Identify and communicate risks, blockers, and dependencies early, escalating issues appropriately when they require leadership attention.
  • Support executive and department leadership with meeting preparation, agendas, recaps, action-item tracking, correspondence, status updates, and follow-through.
  • Consolidate information from multiple active projects into clear, regularly updated operational dashboards and status views.
  • Maintain accurate project tracking and ensure operations initiatives remain connected to department-level reporting.
  • Organize Microsoft Teams channels, shared files, follow-ups, and collaboration spaces to improve information flow across a distributed team.
  • Support the development and ongoing maintenance of the Operations SharePoint site and related organizational resources.
  • Optimize Microsoft 365 tools such as Teams, Loop, SharePoint, Copilot, Excel, and PowerPoint to improve collaboration and operational efficiency.
  • Coordinate across functional areas to ensure handoffs, decisions, and deliverables remain on track.
  • Help prepare and facilitate recurring check-ins, project reviews, and status meetings with functional leaders.
  • Maintain a centralized library of standard operating procedures, templates, workflows, and process documentation.
  • Establish consistent and repeatable approaches for project initiation, tracking, execution, and close-out.
  • Use AI tools such as Claude and Copilot to accelerate drafting, analysis, research, automation, and problem-solving.
  • Identify recurring manual processes that can be improved through AI and implement practical efficiencies proactively.
  • Develop clear, structured prompts that generate reliable and usable outputs for both individual workflows and tools used by others.
  • Provide program or project management support on billable or externally funded initiatives when organizational needs require it.
Requirements
  • 5+ years of professional experience managing projects or programs, preferably within professional services, government contracting, grant-funded environments, or similarly structured organizations.
  • Demonstrated experience building project plans, sequencing dependencies, managing milestones, and driving execution rather than simply tracking project status.
  • Proven ability to work independently, take ownership of loosely defined assignments, find solutions, and move work forward with minimal instruction.
  • Hands-on experience creating project plans from scratch in Monday.com or a comparable project-management platform.
  • Strong Microsoft 365 expertise, particularly Excel including formulas and pivot tables, PowerPoint, Teams, and SharePoint.
  • Experience in, or strong working knowledge of, clean transportation, clean energy, sustainability, or another mission-driven program environment is strongly valued.
  • Ability to quickly understand and support structured client or program delivery work when organizational priorities require it.
  • Demonstrated practical use of AI tools such as Claude, Copilot, or similar platforms for drafting, analysis, research, automation, or other professional work.
  • Strong prompt-engineering capabilities and sound judgment when evaluating and refining AI-generated outputs.
  • Excellent written and verbal communication skills, including the ability to draft executive-level correspondence and updates, present to groups, and facilitate meetings.
  • High level of discretion and professionalism when handling confidential organizational information.
  • Strong self-management and asynchronous communication skills suited to a fully remote working environment.
  • Ability to manage multiple active projects simultaneously while maintaining organization, accuracy, accountability, and follow-through.
  • A proactive mindset with the ability to identify potential problems before they become significant operational issues.
  • PMP certification or equivalent experience, or at least 3 years of direct PM/PMO experience in an agile environment, is preferred.
  • Lean Six Sigma certification is preferred.
  • Experience directly supporting an executive or department leader is a plus.
  • Experience with Power BI or similar dashboarding and business-intelligence tools is preferred.
  • Prior project or program management experience in clean transportation, clean energy, sustainability, or federally/grant-funded environments is advantageous.
