Krahmer Farms and Krahmer Law Firm, PLC are seeking a highly organized, detail-oriented, trustworthy Office Manager & Rental Property Manager to support day-to-day business office administration and rental property operations. This full-time position will serve as a central point of coordination for financial administration, tenant relations, maintenance tracking, vendor communication, and general office management responsibilities.
The ideal candidate will be dependable, professional, discreet, and comfortable managing multiple priorities across business, legal, farming, and rental property operations. This role requires strong communication skills, accuracy with financial records, sound judgment, and the ability to follow through on administrative and operational tasks.
Key ResponsibilitiesRental Property Management
- Oversee rental property operations for business office rental locations in Fairmont Minnesota.
- Serve as a primary point of contact for tenants, including routine communications, questions, concerns, and follow-up.
- Track tenant accounts, including rent payments, outstanding balances, deposits, and other receivables.
- Coordinate and organize repairs, maintenance requests, inspections, and service scheduling.
- Communicate with vendors, contractors, tenants, and ownership regarding maintenance status and project timelines.
- Maintain organized records of tenant communications, leases, invoices, repair requests, vendor contacts, and property-related documents.
- Track property-related accounts payable, including vendor invoices, utility bills, repair costs, and recurring expenses.
- Assist with monitoring property conditions, identifying maintenance needs, and helping ensure rental locations are clean, safe, functional, and professionally maintained.
- Prepare periodic updates regarding tenant matters, maintenance activity, payables, receivables, and property operations.
- Provide administrative support for Krahmer Farms and Krahmer Law Firm, PLC office operations.
- Assist with Managing calendaring, scheduling, deadline tracking, appointment confirmations, and meeting preparation.
- Oversee and administer accounts receivable functions, including tracking incoming payments, following up on outstanding balances, and maintaining accurate records.
- Oversee and administer accounts payable functions, including processing invoices, organizing supporting documentation, and coordinating timely payment.
- Maintain organized financial and administrative records for business office needs.
- Assist with preparing reports, summaries, and documentation related to receivables, payables, property operations, and office administration.
- Coordinate with accountants, bookkeepers, attorneys, vendors, tenants, and other outside professionals as needed.
- Support general office workflow, including filing, correspondence, scheduling, document organization, and follow-up on pending matters.
- Help develop and maintain systems for tracking deadlines, payments, invoices, maintenance items, tenant requests, and other recurring responsibilities.
- Handle confidential information with professionalism, discretion, and care.
This is a full-time position, working on site in office, with occasional opportunities to work remotely. The law office is a combined family businesses office and law office and the office operates full business hours Monday through Thursday and is closed on Friday afternoons year-round. Regular work hours are 8 hours Monday through Thursday, with a lunch break, and Friday mornings until 11:30. Start time can be flexible, although earlier morning starts are preferred because the attorney’s most productive work time is early in the day, which allows for day-care pick-up flexibility.

Compensation will be based on experience, qualifications, and demonstrated ability to manage both legal and executive assistant responsibilities. Position is salary based with a range of $42,000 to $52,000. Overtime is rare but may happen on special occasions and projects.

Requirements: Required Qualifications- Prior experience in office administration, bookkeeping support, property management, accounting support, or a related administrative role.
- Strong organizational skills and ability to manage multiple open items, deadlines, and follow-up tasks.
- Working knowledge of accounts payable and accounts receivable processes, including basic knowledge of Quick Books software.
- Strong written and verbal communication skills.
- Ability to interact professionally with tenants, vendors, contractors, business owners, and professional advisors.
- High level of accuracy, attention to detail, and follow-through.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency with Microsoft Office (Word, Excel, Power Point & Teams), email, spreadsheets, document management, and basic accounting or property management systems, ScanSnap scanning tools, and other office technology.
- Experience with rental property management, commercial office rental properties, or tenant relations.
- Experience using bookkeeping, accounting, or property management software.
- Familiarity with lease administration, vendor coordination, maintenance tracking, or business office operations.
- Background supporting a family business, farm operation, professional office, law firm, or closely held business.
