About the Role:
The HVAC Dispatcher plays a critical role in efficiently scheduling and coordinating HVAC service technicians to meet customer needs promptly and effectively. This position serves as the communication hub between customers, field technicians, and management, facilitating smooth operations and timely service delivery. The HVAC Dispatcher is responsible for managing service requests, prioritizing jobs based on urgency and technician availability, and maintaining accurate records of all dispatch activities. By optimizing routes and schedules, the dispatcher helps maximize productivity while minimizing downtime and travel costs. Ultimately, this role contributes significantly to customer satisfaction and the overall success of the HVAC service operation.
Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience in dispatching or scheduling, preferably within the HVAC or related service industry.
- Strong organizational and multitasking abilities to manage multiple service requests simultaneously.
- Excellent communication skills, both verbal and written, to interact effectively with customers and technicians.
- Proficiency with dispatching software, scheduling tools, and basic computer applications.
- Service Titan Experience REQUIRED
Preferred Qualifications:
- Associate degree or higher in business administration, logistics, or a related field.
- Experience working with HVAC technical terminology and understanding of HVAC systems.
- Familiarity with GPS and route optimization software.
- Customer service experience in a fast-paced environment.
- Ability to work flexible hours, including evenings or weekends, as needed.
Responsibilities:
- Receive and process incoming service requests via phone, email, or digital platforms, ensuring all necessary information is accurately captured.
- Schedule and dispatch HVAC technicians to service calls based on skill set, location, and availability, while considering priority and emergency situations.
- Maintain real-time communication with field technicians to monitor job progress, provide updates, and adjust schedules as needed.
- Coordinate with customers to confirm appointments, provide estimated arrival times, and address any scheduling concerns or changes.
- Update and maintain detailed records of dispatch activities, technician assignments, and service outcomes in the company’s management system.
- Collaborate with management to identify opportunities for improving dispatch processes and enhancing overall operational efficiency.
- Ensure compliance with company policies, safety regulations, and customer service standards throughout the dispatch process.
