Job Description
We are seeking a highly organized and motivated Restoration Administrative Assistant to support our fast-paced restoration operations team. This role is ideal for someone who thrives in a dynamic environment, has excellent attention to detail, and can manage multiple priorities while providing exceptional customer service.
Position Overview:
The Restoration Administrative Assistant will be responsible for providing administrative support to our restoration team, assisting with customer communications, maintaining job documentation, and helping ensure projects move smoothly from start to finish.
Key Responsibilities:
Answer and direct incoming phone calls professionally and courteously
Provide outstanding customer service to clients, vendors, and team members
Assist with scheduling appointments, inspections, and project-related activities
Maintain accurate job files and documentation
Enter and manage data within company software systems
Prepare reports, forms, and correspondence as needed
Assist with invoicing, collections, and general office administration
Coordinate with field personnel to ensure timely communication and project updates
Support daily office operations and special projects as assigned.
Qualifications:
Bilingual (English/Spanish) preferred
Previous office or administrative experience required
Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook)
Excellent verbal and written communication skills
Strong organizational and time-management abilities
Exceptional attention to detail and accuracy
Ability to prioritize tasks and work effectively in a fast-paced environment
Must possess a strong sense of urgency and follow-through
Experience in the restoration, construction, or service industry is a plus
