Job Description
At Mills James, we bring stories, experiences, and events to life through video production, live events, and hospitality technology services. We are seeking a highly organized and detail-oriented **Assistant Resource Coordinator*
* to facilitate the crewing and equipment needs for all service lines within the Mills James enterprise. Will also perform onsite Technician roles as available.
This role is ideal for someone who thrives in a fast-paced environment, enjoys solving logistical challenges, and has a passion for supporting successful live events and productions. The Assistant Resource Coordinator works closely with Resource Managers, Operations Managers, Hotel AV Managers, and production teams to ensure the right people and equipment are in the right place at the right time.
What You'll Do
* Assist Resource Managers in coordinating labor and equipment needs for live events and productions across the Mills James enterprise.
* Collaborate with Hospitality Hotel Managers, Operations Managers, and production teams to understand project requirements and resource needs.
* Help resolve scheduling conflicts and secure qualified freelance or external resources when necessary.
* Coordinate communications related to labor bookings, equipment movement, and rental needs through phone, email, and project management platforms.
* Support the execution of production schedules and resource plans while ensuring operational standards and processes are met.
* Communicate with Warehouse Operations regarding equipment deliveries, pickups, and logistics.
* Utilize scheduling, database, and resource management software to maintain accurate information and resource availability.
* Drive company vans and trucks to transport equipment between Mills James locations and event venues as needed.
* Perform onsite technician duties when available and appropriate.
* Support event operations with flexibility to work early mornings, evenings, weekends, and occasional holidays.
What We're Looking For
Required Qualifications
* Bachelor's degree or equivalent combination of education, training, and experience.
* Minimum one year of operations, scheduling, logistics, production, or related experience.
* Basic understanding of audio, video, and lighting systems and live event production environments.
* Strong organizational skills with the ability to manage multiple priorities simultaneously.
* Excellent verbal and written communication skills.
* Proficiency with computer applications and scheduling/resource management tools.
* Valid driver's license and ability to obtain and maintain a DOT medical card.
* Ability to work a flexible schedule, including evenings and occasional weekends.
