Job Description

This position requires you to live within a 200-mile radius of our Nashville, TN office.
This position is in-office fulltime.

POSITION SUMMARY: Coordinates administrative support for the Mortgage Loan Servicing Director, the Mortgage Loan Servicing Managers, as well as other VMLS team members as needed. Manages the front desk communication, drafts written correspondence and designs for mass marketing, maintains organization for the department, initial face to face customer engagement, provides overflow support to customers representative staff during peak hours.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include the following. Other duties may be assigned.

  • Handles support tasks, independently initiates and implements processes to manage projects and information for the division.

  • Administers face to face customer meetings and phone calls delivering a high level of customer service.

  • Provides reporting support to the Chief Operating Officer of Single Family Programs, Director of Loan Servicing, THDA’s financial advisors, the Assistant Director of Loan Servicing, and the division.

  • Oversees the incoming and outgoing correspondence process including digital and physical correspondence.

  • Coordinates and prepares all documents and participates in all activities for Board Updates and other servicing updates as needed.

  • Assists with the incoming and outgoing check process ensuring proper notification to various departments and balancing deposits.

  • Manages the communication and delivery of lender documents from Single Family Loan Originations.

  • Maintains library of program guides and documents for all mortgage servicing programs.

  • Maintains accuracy of all website information relative to mortgage servicing programs and homeowner assistance information.

  • Creates presentation materials for external training events associated with mortgage servicing programs

  • Coordinates and executes scheduling and communication on behalf of the Chief Operating Officer of Single Family Programs, Director and Assistant Director of Single Family Loan Servicing; which may include event planning and coordinating travel and coordination of various activities.

  • Manages and maintains organization contact list and charts for Single Family Loan Servicing.

  • Orders and maintains office supplies.

  • Verifies renewals, certifications, and funding balances are kept up-to-date.

MINIMUM QUALIFICATIONS

The requirements listed below are representative of the knowledge, skills, and/or abilities required.

  • Education and Experience:

  • Requires a high school diploma or GED; Bachelor degree and/or relevant post-high school certification preferred.

  • Three years of successful, full-time employment in a business office environment, preferably a lending institution, with a high level of public interaction.

  • Microsoft Certifications for business applications; Word, Excel, Access and PowerPoint.

Education and Experience:

  • Requires a high school diploma or GED; Bachelor degree and/or relevant post-high school certification preferred.

  • Three years of successful, full-time employment in a business office environment, preferably a lending institution, with a high level of public interaction.

  • Microsoft Certifications for business applications; Word, Excel, Access and PowerPoint

  • Current, valid driver’s license from domicile state and the ability to drive.

  • Occasional travel, including overnight travel.

  • While performing the duties of this job, the employee is regularly required to sit; stand; use hands to finger, handle or feel; and talk and hear.

  • The employee is occasionally required to walk; reach with hands and arms, and stoop, kneel, or crouch.

  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.
