About the Role

This seat gets the product from the supplier to the customer and gets the paperwork right at every step. It cuts the purchase order, books the container, clears customs, manages the warehouse relationship, enters the order, invoices the customer, and answers the phone on the first ring. It is the execution engine of the international supply chain and the operational face of the company to our customers. This role reports to the VP of Finance.

Core Accountabilities

1. Purchasing and container execution. Cut the purchase order with the supplier from the demand plan, set up new items, book container shipments, and keep suppliers current on order status, availability, pricing, and new products.

2. Inbound logistics and customs. Monitor containers end to end so paperwork is sent and containers are picked up promptly, avoiding port and demurrage fees. Approve duty documents, review shipping and customs documentation for accuracy, and track arrivals, clearance, and bond releases with the broker.

3. Landed cost and margin. On arrival, assemble the customs invoice, ocean invoice, warehouse receipt, and trucking invoice, calculate landed cost, and load additional costs into ERP so margin is accurate.

4. Inventory and warehouse. Own the relationship with our public warehouse partner, run month-end reconciliation against ERP, lead the annual physical count, publish the weekly inventory report, and manage slow-moving and obsolete inventory through discount, write-off, or disposal.

5. Order processing and invoicing. Enter and invoice customer orders across open, control, and Armed Forces channels, handle bailment processing and documentation, manage direct import shipments, approve warehouse, ocean freight, and drayage invoices, and pursue carrier claims for damaged or lost goods.

6. Customer service. Handle inquiries and complaints, troubleshoot product and order issues, maintain customer records and product knowledge, and own outbound shipping and shipping-issue resolution.

7. Compliance data and cost savings. Supply CBMA and state beverage tax gallonage data to Compliance on schedule and accurately, negotiate freight rates and warehouse contract pricing, and drive logistics KPIs on delivery times, service levels, and cost.

Key Activities

• Lead communication and work closely with our global import partners

• Cut purchase orders with suppliers from the demand plan and complete new item setup

• Book container shipments, follow up on schedules, receive bookings, and update dates in ERP

• Send the warehouse a pre-receipt for each incoming container

• Approve duty documents from the broker and review for errors

• Track arrivals, customs clearance, and bond releases with the broker

• Negotiate freight rates and warehouse contract pricing

• Run month-end warehouse reconciliation

• Lead the annual physical count and publish the weekly inventory report

• Enter and invoice customer orders across open, control, and Armed Forces channels, including bailment and direct imports

• Approve warehouse, ocean freight, and drayage invoices

• File carrier claims for damaged or lost goods

• Resolve customer inquiries and outbound shipping issues

• Support Sales and Accounting with inventory, pricing, and payment information

• Enter CBMA data and beverage tax gallonage data into Compliance files

• Supply container, inventory, and ETA data for the monthly S&OP

• Identify cost savings and process improvements, including truck route optimization, and report logistics KPIs

Who You Are

Detail-driven. You catch the error before it becomes a problem, and you know a demurrage clock is running.

An operator. You work the exceptions, chase the container, and close the loop without being asked.

A negotiator. You treat freight rates and warehouse pricing as margin you can go get.

Customer-first. You own the problem from the call to the resolution.

Organized under load. You run many parallel shipments, invoices, and claims without letting one slip.

Requirements:

• 3+ years of experience in logistics, import operations, or supply chain execution

• Working knowledge of ocean freight, customs clearance, and customs documentation

• Experience with order entry, invoicing, and third-party warehouse management

• Strong Excel skills and ERP fluency

• Bachelor's degree or equivalent experience

Preferred

• Beverage alcohol import experience, including bailment and control state order processing

• Familiarity with TTB and state excise tax reporting inputs, including CBMA

• Landed cost modeling experience

Compensation & Benefits

The expected base salary is $75,000-80,000, determined by experience, plus a target annual bonus of 10%. Marussia Beverages USA also offers medical, dental, and vision coverage; Simple IRA with company match; and paid time off and company holidays.
