What You Can Expect Working in the Administrative Assistant Position

The Administrative Assistant supports the daily operations of Lange Real Estate by providing professional front-office coverage, limited brokerage support, and dependable administrative support for the development and investment teams. This role helps keep meetings, documents, project files, communication, and administrative follow-up organized and moving forward.

This position requires a professional and welcoming presence, strong attention to detail, the ability to manage multiple priorities, and a service-minded approach to supporting internal team members, guests, clients, vendors, lenders, investors, and other external partners.


Responsibilities

  • Serve as the first point of contact for Lange Real Estate by answering incoming calls, greeting guests, routing visitors, maintaining a professional front-office presence, and helping keep the office clean, organized, and presentable.
  • Provide limited brokerage support as assigned by LRE leadership, including basic coordination, communication, and administrative follow-up.
  • Schedule development, investment, lender, investor, brokerage, and internal meetings across multiple team members and outside parties.
  • Prepare meeting agendas from leadership direction, take meeting notes, and maintain action item lists.
  • Track open administrative items in a shared tracker and follow up with internal team members to help keep projects and requests moving forward.
  • Maintain organized project folders and filing systems for development, investment, brokerage, and department-related materials.
  • Save, organize, and help manage key documents, including leases, contracts, surveys, budgets, invoices, lender requests, city correspondence, closing documents, and other project records.
  • Assist with assembling lender, investor, city, project, and internal meeting packets.
  • Support the LRE President and broader LRE team with scheduling, document preparation, communication, reporting, and recurring administrative needs.
  • Coordinate with accounting, legal, HR, IT, marketing, finance, and other shared service teams while helping improve templates, checklists, filing systems, and recurring workflows.
Requirements:

Minimum Qualifications

· 2+ years of administrative or office experience.

· Excellent interpersonal and customer service skills.

· Ability to answer customer calls via a multi-line phone system.

· Strong computer skills, including proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and general comfort with new software systems.

· Strong organizational skills and attention to detail.

· Excellent verbal and written communication skills.

· Ability to multitask, prioritize tasks, and follow through with minimal supervision.

· Professional, positive demeanor with strong customer service orientation.

· Valid Driver’s License.

Preferred Qualifications

· Experience managing calendars in software like MS Outlook.

· Experience supporting real estate, development, investment, construction, or professional services teams.

· Experience organizing contracts, leases, closing documents, project files, or lender/investor materials.

· Experience managing shared trackers, document folders, agendas, meeting notes, and action items.

· Experience coordinating meetings across multiple internal and external stakeholders.
