This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Internal Payroll Coordinator based in the United States.
This remote role supports the coordination and control of the full payroll cycle, working closely with internal teams and an external payroll provider.
You will help ensure payroll information is complete, accurate, approved, and submitted on time.
The position involves reviewing employee data, validating payroll inputs, reconciling reports, and coordinating payment execution.
You will also investigate discrepancies, resolve payroll issues, and maintain accurate supporting documentation.
Success in this role requires strong attention to detail, numerical accuracy, organization, and deadline management.
You will work across Accounting, HR, Operations, Management, and external service providers in a structured remote environment.
The role provides broad exposure to U.S.-based payroll operations, financial controls, and end-to-end payroll processes.
Coordinate the company-side payroll process from data collection and validation through processing, payment confirmation, and reconciliation.
Maintain accurate employee and worker payroll information, including time and attendance, pay changes, bonuses, reimbursements, deductions, and adjustments.
Follow up with supervisors and internal teams to obtain complete, accurate, and approved payroll information before established deadlines.
Submit authorized payroll information to the third-party payroll provider and coordinate with the provider throughout each payroll cycle.
Review preliminary payroll reports to identify missing employees, unusual amounts, discrepancies, errors, or other issues requiring correction.
Coordinate payroll corrections and prepare completed payroll for management review and approval.
Monitor payroll execution and confirm that approved payroll has been processed successfully.
Investigate and coordinate the resolution of failed, rejected, delayed, or inaccurate payments.
Reconcile completed payroll against approved source data and payroll provider reports.
Maintain payroll reports, approvals, reconciliation records, and other supporting documentation.
Coordinate responses to payroll-related questions from employees and workers.
Support payroll accounting, reporting, documentation, and continuous improvement initiatives.
Must have lived or worked in the United States, physically worked in the United States, or previously participated in the InterExchange Work Program with the United States.
Previous experience in accounting support, payroll coordination, finance administration, data processing, or a related function.
Basic accounting and data-entry skills with strong numerical accuracy and attention to detail.
Ability to review large volumes of information and identify missing, inconsistent, or unusual data.
Strong organizational, reconciliation, follow-up, and problem-solving skills.
Ability to manage recurring payroll deadlines and coordinate outstanding requirements effectively.
Strong written and verbal English communication skills.
Professional communication skills when working with employees, managers, internal departments, and external service providers.
Ability to handle confidential payroll, compensation, banking, and employee information responsibly.
Ability to work independently and reliably in a structured remote environment.
Proficiency with Microsoft Outlook, OneDrive, Microsoft 365/Office applications, spreadsheets, online collaboration tools, and payroll, timekeeping, or accounting systems.
A background in Accounting, Finance, Business Administration, or a related field is preferred.
Previous experience with payroll, timekeeping, accounting or financial systems, third-party payroll providers, U.S.-based operations, or distributed workforces is advantageous.
Familiarity with payroll reconciliation, payroll reports, financial documentation, high-volume employee records, or payroll platforms is a plus.
Compensation of approximately $750 per month, with the source posting noting that compensation may be based on experience and qualifications.
