Job Description
AMERISAFE is seeking a detail-oriented and highly organized IT Financial Operations Specialist to support the financial and administrative operations of the Information Technology Department. This position plays a key role in budgeting, purchasing, invoice processing, vendor coordination, contract and renewal management, audit support, reporting, and departmental administration. The successful candidate will help ensure accurate financial tracking, timely renewals, effective vendor management, and smooth day-to-day operational support for the IT organization.
What You'll DoFinancial Operations & Budget Support- Support annual IT budget preparation, monitoring, and reporting.
- Track budgeted versus actual expenditures and maintain historical expense records.
- Review and reconcile invoices, purchase orders, recurring charges, and payments.
- Assist with expense tracking, allocation, and financial reporting.
- Prepare budget, expense, renewal, KPI, and management reports.
- Coordinate purchasing activities and maintain supporting approval documentation.
- Support IT procurement activities, including quote collection, purchase request coordination, purchase order tracking, and related documentation.
- Serve as a point of contact for vendors regarding invoices, renewals, billing questions, and account maintenance.
- Maintain current IT and vendor contact information.
- Maintain records and schedules for:
- Technology contracts
- Software subscriptions
- Maintenance agreements
- Warranties
- Digital certificates
- Domain registrations
- Coordinate renewal activities to help prevent service disruptions.
- Maintain accurate and confidential IT financial records.
- Ensure documentation is retained in accordance with purchasing, approval, record-retention, and Sarbanes-Oxley audit requirements.
- Provide supporting documentation for management reviews and audit requests.
- Coordinate logistics and administrative support for IT meetings, events, and departmental activities.
- Coordinate IT training registrations, scheduling, communications, and related records.
- Provide operational and administrative support to ensure the efficient functioning of the IT department.
- High school diploma or equivalent.
- Strong proficiency with Microsoft Office applications, particularly Excel.
- Excellent organizational, analytical, and time-management skills.
- Strong attention to detail and commitment to accuracy.
- Effective written and verbal communication skills.
- Ability to manage multiple priorities and recurring deadlines.
- Ability to maintain confidentiality of financial, contractual, and vendor information.
- Post-secondary education in Accounting, Finance, Business Administration, Information Technology, or related fields.
- Experience with budgeting, purchasing, invoice processing, accounts payable support, expense reconciliation, vendor management, or financial recordkeeping.
- Experience working with financial records, procurement processes, or contract administration.
This role provides an opportunity to contribute directly to the operational effectiveness of the IT organization while gaining exposure to budgeting, vendor management, procurement, compliance, contract administration, technology operations, and strategic planning activities across the department.
