Job Description
Through dynamic, innovative approaches, Student Life is a robust program that gives students opportunities for meaningful engagement and transformation in the co-curricular context. The mailroom supervisor is responsible for efficiently and promptly distributing mail for the college community; maintaining accurate accounts for postage billing; handling supply purchases; and supervising post office staff, including student employees. The Mailroom Supervisor works under the supervision of the AVP/DOS.
Essential Responsibilities:
• Have a daily set schedule (M-F) that does not change unless necessary
• Process all outgoing mail (sort, weigh, affix correct postage, certify, and insure)
• Assist administrative offices with questions regarding large mailings
• Distribute inter-office mail. This includes all mail and packages, handouts, and flyers for faculty, staff, and students
• Keep records of departmental postage and make monthly reports to the business office
• Supervise the student workers
• Know and understand the package locker system and scan all packages in a timely manner (day of delivery)
• Collect and file all student paper mail efficiently
• Assume responsibility for distributing information regarding official closings due to holidays and school breaks
• Responsible for maintaining postal machine finances and addressing mechanical issues
• Communicate with Facilities to ensure proper working box keys and box lock maintenance
• Communicate with postage delivery services, town post office, and paid postal contract
• Responsible for Student Workers; hiring, training, hours, schedule, timesheets, and work contract
• Responsible for working with Campus Security for daily post office mail pickup
• Ensure outgoing mail is delivered to the Post Office
Qualifications: High school graduate or equivalent; college degree preferred
• Two years of secretarial and administrative support experience strongly preferred
• Demonstrated experience with Microsoft Office, spreadsheet software, email, and PowerPoint preferred
• Knowledge of United States Postal Service mailing regulations
• Well organized, able to set priorities and deal with matters in a tactful and highly confidential manner
• Capable of working independently and with students in a supervisory role
• Ability to work under pressure and deal with deadlines (essential)
• Comfortable with multi-tasking; flexible with fluid situations and effective with changing priorities
• Previous customer-service oriented work, including the ability to establish and maintain effective relationships with students, parents, alumni, faculty and staff
• Solid communication skills required
• Strong interpersonal skills (emotionally intelligent)
• Strong commitment to the values of diversity and human compassion
