Under the general supervision of the Recreation Manager, the incumbent coordinates recreational programs for residents and visitors including youth camps, after-school enrichment programs, community recreation programs, and outreach initiatives; promote program activities; and perform a variety of tasks related to assigned areas of responsibility. The Programs Coordinator assists department leadership by providing administrative and operational support to supervisors, managers, and administrative staff; perform a wide variety of responsibilities related to program registration and community partnerships department budget tracking, account coordination, and develop new systems or improve existing systems and procedures to increase department efficiency.
As the Programs Coordinator, you will:
- Plan, coordinate, implement, promote, and evaluate a variety of recreation programs and services, including youth camps, after-school enrichment programs, recreation classes, athletics, wellness programs, arts and cultural activities, outdoor recreation, educational workshops, and community engagement initiatives.
- Develop and maintain partnerships with schools, community organizations, instructors, volunteers, service providers, sponsors, and facility user groups to expand recreational opportunities and enhance program delivery.
- Serve as a liaison between the Parks and Recreation Department, school districts, community organizations, program instructors, volunteers, and the public regarding recreation programs, facilities, events, and community resources.
- Assist with the planning, coordination, promotion, and execution of city-sponsored events, special events, community celebrations, and departmental activities.
- Coordinate participant registration processes and maintain accurate records for recreation programs, classes, workshops, camps, after-school programs, facility reservations, rentals, and special events.
- Collaborate with department staff to schedule and maintain park and recreation facility calendars, ensuring efficient use of facilities for programs, rentals, events, and community activities.
- Develop and distributes promotional and marketing materials, including flyers, brochures, social media content, website updates, newsletters, and community outreach communications.
- Maintain accurate program records, participation data, budget ledgers, sponsorship information, and expenditure tracking for reporting, evaluation, and budgetary purposes.
- Process purchase orders, invoices, deposits, refunds, check requests, registrations, vendor agreements, instructor contracts, facility use permits, and related financial and administrative documentation.
- Assist in the preparation and monitoring of departmental budgets, program revenues, expenditures, grants, sponsorships, and partnership agreements.
- Research, recommend, and implement new recreation programs, services, and operational improvements that respond to community needs and increase departmental effectiveness and efficiency.
- Assist with recruitment, training, and scheduling of assigned staff and volunteers; ensure compliance with City policies, safety procedures, and program standards.
- Attend professional meetings, conferences, training programs, and community events to remain informed of current trends, best practices, and emerging opportunities in parks and recreation programming.
- Respond to inquiries, resolving concerns, and assisting residents, participants, instructors, vendors, and community partners.
- Perform related duties as assigned.
Will possess knowledge of:
- Principles, practices, and methods of parks and recreation programming, youth development, community engagement, and special event coordination.
- Recreation program planning, implementation, promotion, and evaluation techniques.
- Community recreation needs assessment and program development practices.
- Budget preparation, financial tracking, recordkeeping, and basic accounting procedures.
- Marketing, outreach, and communication strategies, including social media and website content management.
- Facility scheduling, reservation systems, and recreation management software.
- Safety procedures associated with recreation programs and events.
- Modern office practices, procedures, and technology, including Microsoft Office applications and database management systems.
Will have the ability to:
- Develop, coordinate, and administer recreation programs that meet the diverse needs and interests of the community.
- Establish and maintain effective working relationships with staff, community partners, volunteers, elected officials, and the public.
- Communicate effectively, both orally and in writing, with individuals from diverse backgrounds and age groups.
- Analyze information, identify problems, and develop practical solutions.
- Interpret and apply policies, procedures, rules, and regulations.
- Exercise sound judgment, initiative, creativity, and independent decision-making within established guidelines.
- Maintain accurate records, prepare reports, and ensure attention to detail.

- Work evenings, weekends, and holidays as required to support programs, events, and departmental operations.
- Safely perform duties in both office and outdoor environments and travel between program sites and facilities as needed.
Education, Training, and Experience:
- A high school diploma or GED equivalent AND
- Three (3) years of full-time work planning, coordinating, organizing recreational activities/sports.
Licenses and Certifications:
All required licenses and certifications must be valid at the time of appointment and maintained throughout employment.
- Arizona Drivers License
- Level 1 Fingerprint Clearance Card
- First Aid/CPR Certification
Special Requirements:
- Residency in the United States and within 25 miles of the City of San Luis
- Ability to pass an extensive background check.
Desired/Preferred:
- Bilingual in Spanish.
- San Luis residency.

Physical Demands

The employee is frequently required to lift up to 10 pounds unaided. Employees must be physically capable of operating City vehicles, for job-related purposes, safely. Specific vision abilities required for this job include close vision and the ability to adjust focus.

Work Environment:
Work is performed in a variety of weather conditions with exposure to the outdoor elements. Vision is required to perform and monitor essential functions, and to complete data entry. There is need to stand, stoop, walk, and lift heavy objects (over 100 pounds) during the course of the workday. Requires the use of a vehicle on City business. Individuals must be physically capable of operating the vehicles safely.
