Operations & Program Manager

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Operations & Program Manager based in Canada.

This role serves as the operational backbone for a fast-paced product and analytics organization focused on delivering data-driven solutions.
You will oversee financial management, resource planning, hiring operations, reporting, and cross-functional program execution.
Working across product, engineering, finance, data, and business teams, you will turn operational information into clear decisions and measurable outcomes.
The position combines strategic planning with hands-on execution, requiring strong financial acumen, analytical thinking, and exceptional attention to detail.
You will also identify opportunities to streamline workflows and use AI-powered automation to reduce manual effort and improve operational efficiency.
Success in this role means creating scalable processes, maintaining strong governance, and keeping multiple initiatives moving in an environment of urgency and ambiguity.

Accountabilities:
  • Lead monthly financial submission processes and establish effective controls and governance frameworks to ensure accurate financial management.
  • Track organizational resources and financial data while managing operational and capitalizable costs, forecasts, actuals, change requests, and capital expenditure charters.
  • Maintain financial calendars, ensure critical deadlines are met, and present financial updates to senior stakeholders with clear variance analysis and performance narratives.
  • Support financial modeling and scenario planning to inform strategic decisions and collaborate with procurement teams on vendor relationships, contracts, invoices, purchase orders, and expenses.
  • Oversee the budget management cycle, including templates, calendars, submission processes, approvals, controls, and spending-versus-budget analysis.
  • Optimize personnel, tools, and technology allocation in collaboration with finance and program teams to maximize delivery efficiency.
  • Develop resource governance and tracking systems, including automated reporting that provides timely visibility into utilization and performance.
  • Manage end-to-end recruitment activities, approvals, staffing tracking, workforce forecasts, and hiring compliance across relevant teams.
  • Monitor hiring velocity against product roadmap dependencies, identify workforce risks, and develop talent pipeline reports to support strategic workforce planning.
  • Act as the key liaison between operational stakeholders and BI teams, defining requirements for financial, resource, and operational dashboards.
  • Build and maintain KPI dashboards covering areas such as product adoption, user engagement, platform performance, and accuracy metrics.
  • Create and present executive-level presentations incorporating data visualizations, dashboards, strategic recommendations, and portfolio performance insights.
  • Maintain a centralized knowledge and information environment containing operational documentation, product roadmaps, sprint calendars, metrics, team updates, and strategic planning materials.
  • Develop automated reporting solutions and ensure operational information reaches the appropriate stakeholders efficiently.
  • Collaborate with executives, department leaders, and team members to ensure effective communication and coordination across operational activities.
  • Audit and document existing workflows, identify opportunities for AI-driven automation, and prioritize initiatives based on potential business impact.
  • Design, build, test, and pilot AI agents and automated workflows for repetitive or rules-based operational tasks.
  • Partner with operations and functional teams to gather requirements, validate solutions, measure time and error savings, and iterate before broader implementation.
  • Document automated processes, support user adoption and training, and report automation progress and impact to the Operations Leader.
Requirements
  • Bachelor’s degree in Business Administration, Operations Management, Finance, Information Systems, or a related discipline.
  • 7+ years of proven experience in Operations, Finance, Program Management, or a closely related function, preferably within product development environments.
  • Strong financial acumen, including experience with P&L concepts, ROI, budgeting, resource allocation, vendor management, invoicing, and connecting operational metrics to strategic objectives.
  • Excellent analytical and problem-solving skills, with a data-driven approach and systems thinking for interconnected operational processes.
  • Strong attention to detail, commitment to data accuracy, results orientation, and ability to perform effectively under pressure in fast-paced AI and analytics environments.
  • Advanced communication and stakeholder management skills, including the ability to engage effectively with senior executives and both technical and non-technical audiences.
  • Strong experience creating executive-level PowerPoint presentations and translating complex data into clear business narratives.
  • Advanced proficiency in Microsoft Excel, PowerPoint, SharePoint, and Teams, with foundational data analysis capabilities.
  • Experience with Agile and sprint methodologies, operational management software, ERP systems, and BI tools.
  • Familiarity with AI tools such as Claude and AI agents, as well as Power BI, Tableau, SQL, Smartsheet, Jira, Confluence, Workday/HRIS systems, Python automation, or FinancialForce, is preferred.
  • Experience in strategic planning, risk management, KPI monitoring, portfolio reporting, and operational performance management.
  • Commercial real estate industry experience is preferred but not required.
  • Adaptability, comfort with ambiguity, tactical and strategic thinking, and the ability to manage multiple initiatives simultaneously.
Benefits
  • Estimated base salary of CAD $120,000–$140,000 per year.
  • Fully remote position based in Toronto, Ontario.
