Job Summary:

The Business and Branding Support Coordinator serves as an operational backbone for the organization, handling cross-departmental duties spanning digital presence, corporate event execution, internal communications, HR administration, and facility coordination. This role ensures seamless administrative workflows while driving external brand visibility.

Essential Functions:

Digital Presence, Brand Reputation & Graphic Support

  • Manage corporate social media channels (e.g., LinkedIn posts, engagement, and page analytics).
  • Monitor and maintain company profiles on review platforms (Google, Yelp, BBB, Yellow Pages) and draft responsive communications.
  • Coordinate content updates for the company website and mobile application.
  • Assist with basic creative design for internal collaterals, digital announcements, and event promo materials using PowerPoint, Word, Excel, Illustrator and Photoshop.

Events & Facilities Coordination

  • Coordinate and execute internal and external events and meetings by planning logistics, preparing agendas, documents, and presentations, gathering materials, scheduling, and managing all arrangements such as venue and facility bookings, coordinating catering/meals, entertainment, and attendee communications.
  • Coordinate travel and accommodation arrangements.
  • Assist with management of facility needs, such as parking access, vendor relations, and day-to-day office logistics.

HR Support & Employee Engagement

  • Assist with facilitation of employee recognition programs (anniversary gifts, birthday gift cards, and recognition awards).
  • Support HR admin duties, including processing benefit packets, tracking employee milestones, and assisting with wellness and activities committees.
  • Coordinate headshots, employee apparel ordering, design, inventory, and dispersal of promotional items.

Operations

  • Work with senior leadership to support their daily work routines and administrative needs.
  • Prepare, reconcile and submit expense reports for senior leadership.
  • Support projects as requested and track progress on deliverables.
  • Organize and maintain electronic files and shared drives.
  • Perform accurate data entry and maintain databases.
  • Provide support on administrative and project tasks across departments including generating regular operations reports.
  • Attend meetings as directed and record accurate, well-organized meeting minutes including key decisions, responsibilities, follow-ups, and deadlines, and distributing minutes to all stakeholders in a timely manner.

Nonessential Functions:

  • Other duties as assigned or appropriate

Education/Qualifications:

  • Associate’s Degree in Business Administration or related field and 3-5 years of general administrative, digital marketing, branding, or HR support experience or equivalent combination of education and experience required.
  • Experience with social media management, digital presence management, and brand awareness is preferred.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to prioritize and meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Show strong reliability through consistent attendance and the ability to manage responsibilities with minimal oversight.
  • Demonstrates ambition, initiative, and the ability to anticipate work needs.
  • Extremely proficient with Microsoft Office Suite including PowerPoint, Word, Excel, and Outlook with the ability to learn new or updated software.
  • Experience with Illustrator, Photoshop, Canva, or other design software preferred.

Travel Requirements:

Periodic travel for events and meetings is required as needed.
