POSITION OVERVIEW
The Midland Field Admin provides essential administrative and operational support to the
Midland field office. This role is responsible for coordinating key field processes, managing
employee resources, supporting onboarding and training, and maintaining accurate records
across multiple systems. The Field Admin also takes on assigned developmental projects to
build leadership and operational competency over time.

CORE RESPONSIBILITIES
1. ONE-CALL PROCESS OVERSIGHT
• Serve as the primary point of contact and coordinator for the one-call notification process.
• Ensure all one-call requests are received, logged, and routed to the appropriate field personnel
in a timely manner.
• Monitor compliance with one-call requirements and maintain accurate records of all
submissions.
• Follow up on outstanding or incomplete one-call tickets and escalate issues as needed.
• Maintain up-to-date knowledge of one-call regulations and company procedures.

1. EMPLOYEE LODGING ASSIGNMENTS
• Manage and coordinate lodging assignments for field employees, including new hires and
traveling personnel.
• Maintain a current lodging roster and track occupancy, availability, and assignment changes.
• Communicate lodging details to employees in advance of their start date or travel.
• Coordinate with vendors, property managers, or hotels as needed to confirm reservations and
resolve issues.
Ensure cleaning agencies are timely and performing required duties.
• Ensure lodging records are accurate and updated in the appropriate system(s).

1. OFFICE EQUIPMENT & SUPPLIES
• Oversee inventory of office equipment and supplies for the Midland field office.
• Monitor stock levels and submit purchase requests or orders to maintain adequate supply.
• Receive, organize, and distribute incoming equipment and supplies.
• Track equipment assignments and condition, flag items in need of repair or replacement.
• Maintain organized storage areas and ensure equipment is properly labeled and accounted
for.

1. NEW HIRE PPE & EQUIPMENT ASSIGNMENT AND TRACKING
• Assist in coordinating the issuance of Personal Protective Equipment (PPE) and required
tools/equipment to all new hires prior to or on their first day.
• Maintain a detailed tracking log of all PPE and equipment issued, including item type, quantity,
condition, and employee name/ID.
• Conduct equipment check-ins and check-outs; document returns and assess condition upon
departure.
• Ensure all new hires receive the correct PPE per their role requirements and applicable safety
standards.
• Report discrepancies, shortages, or damaged equipment to the appropriate supervisor.

1. NEW HIRE ORIENTATION & TRAINING SUPPORT
• Assist in the coordination and facilitation of new hire orientation sessions for Midland field
employees.
• Prepare orientation materials, packets, and checklists in advance of each new hire start date.
• Guide new hires through the orientation process, ensuring all required steps are completed
and documented.
• Coordinate with supervisors and department leads to schedule role-specific training as
needed.
• Track orientation and training completion; maintain records in the appropriate system(s).

1. INSURANCE SUPPORT
• Ensure and oversee insurance enrollment processes and paperwork.
• Collect and submit completed insurance enrollment forms within required deadlines.
• Maintain confidential records of insurance documentation in compliance with company policy.

1. DATA ENTRY & SYSTEMS MANAGEMENT
• Enter and maintain accurate employee and operational data across various company systems
and programs (e.g., Rippling, spreadsheets, internal databases).
• Ensure data is entered in a timely manner and meets accuracy standards.
• Perform routine audits of records to identify and correct errors or outdated information.
• Generate reports from systems as requested by supervisors or management.
• Maintain confidentiality and data integrity in all system entries.

1. DEVELOPMENTAL PROJECTS
• Accept and complete assigned projects designed to build operational knowledge, leadership
skills, and cross-functional competency.

• Apply learnings from projects to improve day-to-day administrative processes where
applicable.
