Job Description
We’re looking for a Resident Services & Business Office Coordinator who is excited to support residents, families, and the on-site business office functions of our Skilled Nursing Facility. In this role, you’ll coordinate resident appointments and transportation, assist with admission and financial documentation, support Medi-Cal eligibility and renewals, and maintain resident trust fund records. You’ll also serve as a primary point of contact for residents and families regarding scheduling, eligibility, and personal fund matters.
We value strong organization, attention to detail, clear communication, and the ability to exercise independent judgment within defined procedures. We’re excited to welcome a teammate who can manage multiple priorities while supporting residents, families, and the Bella Sera team.
Key Responsibilities

Coordinate resident medical, dental, and specialty appointments, including transportation arrangements, scheduling communication, and follow-up with care staff.

Serve as the primary on-site business office contact for residents, families, transportation vendors, and DHCS/CDPH surveys.

Complete admission agreements, financial disclosures, discharge paperwork, bed-hold documentation, and related financial processes with residents and families.

Manage Medi-Cal renewals and redeterminations, assist with required documentation, communicate with eligibility contacts, and track cases to help prevent coverage lapses.

Assist with Share of Cost (SOC) collections, outstanding balances, receipts, final billing documentation, and refunds.

Manage resident trust fund transactions, monthly reconciliations, required statements and notices, audit documentation, and fund disposition at discharge, transfer, or death.

Cross-train in Medicare Part A/B, Medi-Cal, Managed Care, and private-pay billing to provide essential backup coverage for the Post-Acute Revenue Coordinator.

Participate in the Medicare Part A Triple Check process as needed and escalate complex billing or eligibility issues appropriately.

Perform other duties as assigned.
Collaborative Teamwork
This role involves working closely with residents, families, nursing and care staff, transportation vendors, county eligibility workers, conservators, and the Post-Acute Revenue Coordinator to deliver effective, resident-focused services and contribute to a supportive and collaborative work environment.
Qualifications

High School diploma or equivalent required; Associate's degree or coursework in healthcare administration, accounting, or a related field preferred

Prior experience in a SNF, hospital, or healthcare business office setting required

Familiarity with Medi-Cal eligibility and renewal processes required

Proficiency with Microsoft Office, including Excel and Outlook, and EHR/billing systems such as PointClickCare or similar

Basic accounting and spreadsheet skills

Strong organizational skills with the ability to manage multiple deadlines and schedules simultaneously

Ability to judge and plan to accomplish goals within specified timelines

Ability to read, write, understand and communicate effectively in the English language
