Meeting Event Manager II

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Meeting Event Manager II based in United States.

This role leads the planning and delivery of complex meetings, events, and incentive programs from initial concept through onsite execution.
You will serve as a trusted client partner, managing communication, timelines, budgets, suppliers, and operational details.
The position combines strategic program management with hands-on leadership to ensure seamless event experiences.
You will collaborate with clients, internal teams, hotels, audiovisual providers, destination partners, and other suppliers.
Strong financial ownership is central to the role, including forecasting, expense tracking, contract negotiation, and profitability management.
You will also anticipate challenges, resolve issues in real time, and oversee high-touch experiences for clients and attendees.
This is a remote opportunity with approximately 30% travel and significant exposure to high-profile, complex programs.

Accountabilities
  • Serve as the primary client contact and trusted operational partner throughout the full lifecycle of assigned meetings and events, from planning through onsite delivery.

  • Lead program coordination by managing timelines, deliverables, logistics, priorities, and operational details to ensure smooth execution.

  • Own event budgets and financial performance, including forecasting, expense tracking, supplier negotiations, and profitability targets.

  • Lead cross-functional project teams by translating client objectives and requirements into clear plans, responsibilities, and execution priorities.

  • Source, negotiate with, and manage hotels, audiovisual providers, destination management companies, transportation partners, and other third-party suppliers.

  • Conduct site inspections and collaborate with clients and internal stakeholders to align event strategy, logistics, and execution plans.

  • Maintain proactive and transparent communication with clients and internal partners, anticipating needs and addressing potential issues before they affect delivery.

  • Oversee onsite event operations, troubleshoot challenges in real time, and ensure a polished, service-focused experience for clients and attendees.

  • Coordinate VIP logistics and special projects when required, ensuring detailed planning and personalized execution.

  • Contribute operational expertise to proposals, renewals, and ongoing account development while supporting strong long-term client relationships.

Requirements
  • Bachelor’s degree or equivalent practical experience.

  • At least 3 years of experience managing large-scale, complex event programs from planning through onsite execution, including budget ownership, supplier negotiation, and cross-functional leadership.

  • At least 3 years of experience in meeting planning, event management, incentive programs, association or corporate events, hospitality, convention services, or related sales environments.

  • International destination experience is a plus.

  • Strong knowledge of end-to-end event and program management, including financial forecasting, budget control, logistics, and operational planning.

  • Proven ability to establish and maintain trusted client relationships through strong communication and service excellence.

  • Excellent written, verbal, presentation, negotiation, and interpersonal skills.

  • Ability to manage multiple complex projects simultaneously while remaining organized, adaptable, detail-oriented, and responsive under pressure.

  • Proficiency with Microsoft Office and the ability to learn and use new event management and business systems effectively.

  • Willingness and ability to travel approximately 30% of the time.

  • Must be authorized to work permanently in the United States; sponsorship is not provided for this position.
