Receptionist/Concierge
Buchanan Ingersoll & Rooney is a national law firm with a proven reputation for providing progressive, industry-leading legal, business, regulatory and government relations advice to our regional, national and international clients.
We are currently seeking an experienced Receptionist/Concierge for our Philadelphia office. This position reports to the Office Manager. The Concierge/Reception Professional offers top- tier customer service via phone, email and in person. We are seeking an individual who is highly articulate, motivated, warm, welcoming and very customer-oriented. You will provide prompt, courteous and effective customer-oriented services to guests, visitors and employees. You will make recommendations and offer suggestions, in addition to fulfilling employee and visitor requests. This position requires exemplary hospitality skills, the ability to understand the value of first impressions and some knowledge of the local area. The ideal candidate will have a true passion for helping people, along with the goal of exceeding expectations.
This position is on-site five days per week.

Responsibilities:
- Ensure professional client reception services by greeting clients and visitors, attending to their hospitality needs, communicating with staff and attorneys regarding their arrival, and monitoring emergent issues
- Answer all incoming phone calls, ensuring all calls are redirected accordingly
- Process deliveries to the reception desk by contacting recipient parties, keeping logs of special requests, follow-up with clients as needed
- Ensure security procedures are followed by issuing temporary security cards according to procedural expectations and monitor arrivals and departures of guests
- Schedule and coordinate conference rooms/video calls and visiting attorney office requests
- Assist with office event planning logistics
- Under the supervision of the Office Manager, manage catering orders for meetings
- Provide back-up for any technology needs in conference rooms
- Assist Office Manager with building service requests
- Prepare check requests, track credit card receipts and ensure everything is processed through Accounts Payable
- Assist guests with information on local transportation, including local parking facilities, Uber, taxis, etc.
- Perform additional responsibilities as assigned
- High school diploma or equivalent
- 3+ years of receptionist or administrative assistant experience
- Proven work ethic
- Excellent interpersonal, communication and organizational skills
- Typing ability of 50wpm minimum
- Proficient in Microsoft Office Suite; Word, Excel, Outlook
