Job Description

Position Overview
The Client Relations Specialist plays a critical role in ensuring accurate sample intake, smooth client communication, and high‑quality customer service. This position bridges laboratory operations and client-facing responsibilities, requiring strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment. Approximately 25% of the time will be dedicated specifically to sample receiving and log-in.
Key Responsibilities
Client Relations & Support
  • Prepare and issue quotes based on client testing needs, specifications, and inquiries.
  • Communicate with clients via phone and email to answer questions, provide guidance, and support testing requests.
  • Process and fulfill sample media orders as they are received.
  • Coordinate the return shipment of samples to clients upon request (email, phone, or chain of custody documentation).
  • Address and resolve client concerns, issues, or escalations with professionalism and clarity.
Sample Receiving & Intake
  • Unbox, inspect, and verify incoming samples to ensure all materials match the chain of custody or internal submission forms.
  • Accurately enter sample information into the laboratory information management systems (ChemLIMS/eLIMS).
  • Confirm that each sample is correctly logged and labeled in the appropriate LIMS system.
  • Identify and resolve discrepancies by contacting clients promptly to obtain missing information or clarify issues.
  • Assess sample viability and suitability for testing based on established laboratory criteria.
  • Invoicing and Invoice Review

Qualifications
  • Experience in a laboratory, environmental testing, or sample receiving environment preferred.
  • Familiarity with LIMS systems, data-entry platforms.
  • Strong communication skills, both written and verbal.
  • Attention to detail and ability to manage discrepancies effectively.
  • Customer service experience and comfort interacting with clients.
  • Ability to multitask and prioritize in a dynamic environment.
