JOB DESCRIPTION
Summary/Objective
The Permit Coordinator is responsible for coordinating, obtaining, tracking, and maintaining permits required for company projects. This position will work closely with municipalities, cities, counties, project managers, field personnel, and internal administrative teams to ensure all required permits are obtained accurately and in a timely manner. The ideal candidate is highly organized, detail-oriented, comfortable communicating with government offices, and able to manage multiple permits and projects simultaneously.

Essential Duties & Responsibilities
- Research and identify required permits for projects based on municipality, county, project scope, and applicable regulations.
- Prepare, submit, and follow up on permit applications with municipalities, cities, counties, and other governing agencies.
- Communicate with permitting departments and municipal offices regarding application requirements, fees, inspections, approvals, and outstanding documentation.
- Monitor permit applications from submission through approval and issuance.
- Track permit status, expiration dates, fees, and other important deadlines.
- Maintain accurate and organized records of all permits, applications, approvals, and related documentation.
- Coordinate with Project Managers, Operations, Field Supervisors, and other departments to obtain information needed for permit applications.
- Review permit requirements and ensure applications are complete and accurate before submission.
- Coordinate required inspections and communicate inspection requirements and scheduling information to the appropriate team members.
- Obtain copies of approved permits and ensure they are distributed to the appropriate personnel.
- Follow up on delayed, rejected, or incomplete permit applications and resolve issues when possible.
- Maintain a permitting spreadsheet, database, or tracking system to provide accurate project updates.
- Assist with researching municipal requirements, ordinances, fees, and permitting processes.
- Ensure permits are renewed or extended when necessary.
- Maintain professional relationships with municipal and governmental contacts.
- Assist project teams with questions regarding permitting requirements and status.
- Perform other administrative and operational duties as assigned.
Education and Experience
- HS Diploma.
- 1–3 years of experience in permitting construction administration, project coordination, or a similar role.
- Familiarity with municipal permitting processes and requirements.
- Experience working with multiple municipalities or jurisdictions.
- Knowledge of construction, utility, excavation, right-of-way, or infrastructure permitting is a plus.
- Previous experience with municipal permitting, construction permitting, utility permitting, project coordination, or a related administrative role preferred.
- Experience working with cities, municipalities, counties, or other government agencies is a plus.
- Comfortable communicating by phone, email, and in person with municipal personnel
.
Requirements:Salary
$50,100 / Annually

Work Environment
This job operates in a professional office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 7:00 a.m. to
5:00 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 8:00 a.m. to 5:00 p.m. and must work 40 hours each week to maintain full-time status. Extended hours may be required based on the business need.
