Gastrointestinal Specialists, Inc. (GSI) is seeking an experienced, energetic, and people-focused Medical Office Manager to lead the day-to-day operations of one of our outpatient gastroenterology clinics.

This is a hands-on leadership position for someone who enjoys building strong teams, improving processes, solving problems, and creating an exceptional experience for both patients and providers. Our Office Managers are an important part of the GSI leadership team and serve as the primary operational leader for their assigned clinic.


The ideal candidate is approachable, organized, accountable, and comfortable balancing the needs of patients, providers, and employees in a busy medical practice.


What You'll Do

As a Medical Office Manager, you will oversee the daily operations of your assigned clinic and provide direct leadership and support to the clinical and front-office teams.


Key responsibilities include:
  • Lead, coach, develop, and support clinic employees while promoting a positive, collaborative, and accountable work environment.
  • Oversee daily clinic operations to ensure efficient patient flow and an excellent patient experience.
  • Serve as the primary operational point of contact for physicians, APPs, and employees assigned to the clinic.
  • Manage employee schedules, daily staffing, coverage needs, attendance, and timekeeping.
  • Participate in interviewing, hiring, onboarding, training, and development of new employees.
  • Conduct regular employee check-ins and provide timely coaching, feedback, recognition, and corrective action when appropriate.
  • Monitor employee performance and ensure expectations, policies, and procedures are consistently followed.
  • Proactively identify operational challenges and develop solutions before they impact patients, providers, or staff.
  • Partner with practice leadership to implement operational initiatives and process improvements.
  • Monitor clinic workflows, patient volumes, staffing needs, and productivity to ensure resources are appropriately utilized.
  • Address patient concerns professionally and work toward timely resolution.
  • Support provider schedules and communicate operational or staffing concerns that may affect clinic operations.
  • Promote effective communication between providers, clinical staff, front-office staff, and practice leadership.
  • Maintain compliance with HIPAA, OSHA, infection-control requirements, organizational policies, and other applicable healthcare regulations.
  • Assist with employee engagement and retention initiatives and help foster a workplace where employees feel supported and valued.
  • Participate in leadership meetings, projects, and practice-wide initiatives as needed.
  • Maintain appropriate supplies and equipment and communicate facility or operational needs.
  • Perform other duties necessary to support the successful operation of the clinic.

    Preferred qualifications include:
  • Previous medical office, clinic, or healthcare management experience.
  • Experience directly supervising employees in a healthcare environment.
  • Strong leadership, coaching, and conflict-resolution skills.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities with the ability to manage multiple priorities.
  • Ability to remain professional and solution-focused in a fast-paced environment.
  • Demonstrated ability to hold employees accountable while maintaining positive working relationships.
  • Strong problem-solving skills and the ability to make sound operational decisions.
  • Comfortable working collaboratively with physicians, advanced practice providers, employees, and senior leadership.
  • Experience with electronic medical records and practice-management systems.
  • Gastroenterology or specialty-practice experience is a plus, but not required.

    EDUCATION: Bachelors Degree is preferred.
    EXPERIENCE: Minimum of threefive years medical office management. Experience in internal medicine or GI is preferred.
    Performance Requirements:
  • Knowledge of clinic policies and procedures.
  • Knowledge of medical terminology and insurance practices.
  • Knowledge of computer programs and applications.
  • Knowledge of CPT and ICD-10 coding.
  • Knowledge of managed care, Medicare, and Medicaid guidelines.
  • Skill in effective personnel management including training staff and delegating duties.
  • Skill in written and verbal communication.
  • Ability to work effectively as a team member with physicians and other staff.
  • Ability to flexibly respond to changing demands.
  • Ability to plan, organize, prioritize and direct the work of others.
  • Ability to sort and file materials correctly by alphabetic or numeric systems.
  • Ability to establish and maintain effective working relationships with patients, employees, and the public.
  • Prior experience interviewing candidates and determining staffing needs.
  • Experience credentialing physicians and mid-level providers
  • Experience managing patient issues
