Job Description

SUMMARY

The Orleans Parish Sheriff’s Office (OPSO), New Orleans, Louisiana, provides the care, custody, control and rehabilitation of inmates. The Grievance Clerk position is located at Orleans Parish Sheriff’s Office and reports to the department leadership for which they are assigned. The incumbent work involves compiling and tabulating data, gathering information, processing information, making determinations, transporting documents, maintaining files and performing complex clerical duties. The Grievance Clerk works under general supervision with limited latitude for the use of initiative and independent judgement.

SALARY

The salary for the Grievance Clerk commensurate with an applicant’s knowledge, skills, experience, certifications, and education requirements of the subject position. This position is non-exempt.

JOB RESPONSIBILITIES

Primary Job Duties & Functions:

• Investigate, gather, prepare and process information and make determinations based on incidents.

• Receives and reviews documents, reports, and forms for accuracy, completeness, and legibility from resident (inmate) grievance request system;

• Prepares and scans documents into an automated imaging system; and maintains and verifies logs of work progress, document processing, and related records.

• Compiles, organizes, and tabulates data; prepares charts, graphs, and tables; and prepares periodic summaries and reports on inmate grievance information.

• Prepare complete and accurate responses to grievances even if the resident is released from custody.

• Immediately refer misconduct grievances to IAD- Administrative Investigations for evaluations and if necessary investigation.

• Educate a resident (inmate) on how to prepare and submit a grievance or request as indicated in the inmate handbook.

• Review grievance submissions to determine actual grievances.

• Respond to grievances within two calendar days of receipt for allegations.

• Types and performs word processing; prepares correspondence, summaries, reports, manuals, and other documents; and maintains records, files, and cross reference systems.

• Performs a variety of marginal duties not listed, to be determined and assigned as needed.

Requirements:

• Graduation from an accredited senior high school or equivalent or GED.

• Two years full-time, wage-earning clerical, secretarial, administrative support, or technical program support experience.

• Computer operations experience preferred.

• Outstanding verbal and written communication skills.

• Skill to prepare and maintain accurate records, files, and reports.

• Skill to interpret and apply rules, regulations, policies, and procedures.

• Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
