About This Position
The Coordinator, Dental Clinic is a full-time 10-month staff position that reports to the Manager, Dental Studies and the Department Chair, Dental Studies. This position oversees the scheduling and operation of the on-campus dental clinic.
Primary Responsibilities
- Manage the orderly function of the dental hygiene clinic, including the daily opening preparations for use; check in patients, collect service fees, and apply payments to appropriate accounts.
- Oversee the part-time clinic staff and student workers through supervision, training, approving time sheets, and evaluating performance.
- Provide a safe environment for the provision of instruction and patient care by the proper handling of infection control and hazardous waste.
- Coordinate in person and by telephone with the public; receive and convey messages for the department chair, faculty, staff, patients, dental hygiene students, and prospective students.
- Implement electronic patient record-keeping processes.
- Work with vendors to resolve issues and keep software up to date.
- Work cooperatively and courteously with all dental studies students, patients, and faculty to ensure the clinic runs smoothly and all issues are addressed.
- Utilize Banner to manage the ordering and receiving of clinic supplies and equipment.
- Manage the storage of clinic supplies and equipment for the provision of direct dental treatment and laboratory experiences for dental hygiene students.
- Troubleshoot computer issues, including hardware and software, for all clinic computers, and submit service desk requests as needed.
- Troubleshoot specialized equipment issues for all dental operatories. Contact and schedule proper vendors when problems are unresolved.
- Process end-of-day reports, balance receipts, prepare deposits, and schedule for pick-up with campus safety.
- Process requests to send x-rays and other documentation to dental offices; Receive x-rays and documentation from dental offices, and upload the information into the correct electronic patient record.
- Prepare end-of-semester and end-of-year reports for the department chair to assist with accreditation documentation and budget requirements.
- Process student requests for community outreach supplies.
- Coordinate and track student locker key contracts.
- Oversee clinical plans, policies, and procedures and modify them as needed.
- Assist the Manager, Dental Studies, with preparing and organizing clinic documents; organize clinic forms for easy access to students and faculty.
- Assist the Manager, Dental Studies, with clerical duties involved in the operation of 3 Dental Studies programs.

SUPERVISORY RESPONSIBILITIES
2 part-time employees
Work Environment: Ultrasonic sound, Indoor settings, Occasional work required outside regular business hours.
Physical Demands: Sitting, walking, lifting up to 50 pounds, bending, and repetitive typing.
Travel Required: Yes – Minimal 10%
If travel is required, the candidate must have and maintain a current, valid Texas driver’s license and an acceptable driving record.
Required Education
HS Diploma or equivalent
Required Experience
- At least one year of administrative, clerical, or related experience in a fast-paced environment requiring strong organizational skills, attention to detail, and superior customer service.
- Strong working knowledge of Microsoft Office Suite programs (including Excel, Word, and Outlook).
Preferred Education
Associate’s Degree in a related field
