Position Summary

The Oncology Infusion Scheduler coordinates and schedules patient appointments within the oncology infusion and provider clinics to ensure accurate, timely treatment delivery. This role collaborates with physicians, advanced practice providers, and clinical/non-clinical staff to optimize scheduling, minimize patient wait times, and support efficient resource utilization. The scheduler reviews treatment plans, verifies authorization and insurance requirements, resolves scheduling conflicts, and monitors missed appointments with appropriate follow-up. This position provides administrative support, participates in performance improvement efforts, and promotes a positive patient and staff experience through professional communication and service excellence.

Core Job Functions
- Schedules and coordinates oncology infusion appointments based on treatment regimens, cycle timing, and provider orders. Ensures treatment appointments are properly coordinated with office visits and lab appointments. Monitors missed or cancelled appointments and follow up with patients to reschedule or document treatment changes. Identifies and resolves scheduling conflicts to optimize resource utilization and minimize patient wait times.
- Collaborates with physicians, advanced practice providers, nursing, pharmacy, and support staff to ensure accurate and efficient scheduling.
- Reviews treatment plans to verify chair time, drug duration, labs, and required pre-treatment criteria.
- Verifies prior authorizations, insurance requirements, and referral documentation prior to treatment dates. Maintains accurate documentation in the electronic medical record (EMR).
- Provides administrative support to the infusion unit and assists with performance improvement initiatives.
- Delivers professional phone communication and promotes a positive patient and staff experience.
