About the role
DroneShield is seeking an Event Coordinator with relevant experience to join the team in Warrenton, Virginia.
DroneShield is seeking a highly organized and proactive U.S. Event Coordinator to support the planning and execution of trade shows, conferences, and internal events across the United States. This role is ideal for a detail-oriented professional with 2–3 years of event or trade show experience who thrives in a fast-paced environment and is eager to grow within a high-performing marketing team.
This position plays a critical role in ensuring seamless event execution while working cross-functionally with sales, marketing, operations, and leadership.
The position will report to the Director of Marketing.
Responsibilities, Duties and Expectations
- Coordinate end-to-end logistics for U.S. trade shows and events, including booth setup,
shipping, vendor management, and on-site execution - Support planning and execution of major industry events (defense, public safety, and critical
infrastructure sectors) - Manage event timelines, checklists, and project trackers to ensure deadlines are met
- Coordinate with internal teams (sales, product, marketing) to align messaging, assets, and goals
- Assist with creation and preparation of event materials (presentations, collateral, signage,
giveaways) - Track event budgets and expenses, and support ROI reporting post-event
- Handle shipping, inventory management, and organization of event materials and equipment
- Provide on-site support at events, including setup, breakdown, and operational coordination
Qualifications, Experience and Skills
- 2–3 years of experience in event coordination, trade shows, or marketing support
- Strong organizational skills with the ability to manage multiple projects simultaneously
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (PowerPoint, Word, Excel) and general computer systems
- Experience with Salesforce or similar CRM platforms is a plus
- Ability to work cross-functionally and collaborate effectively with multiple teams
- High attention to detail and problem-solving mindset
- Based in or able to commute to Warrenton, Virginia
- Valid driver’s license required
- Ability to lift and transport up to 50 lbs
- Willingness to travel for events (as needed)
- Ability to work flexible hours during event periods, including early mornings and evening
