Job Location: This position will be located in Harry S. Truman State Building, 301 W. High St. Jefferson City, MO 65101.

The State of Missouri’s Office of Administration (OA) is seeking a highly organized and proactive Executive Assistant to support the Deputy Commissioner & General Counsel, the Deputy General Counsel, and a team of five staff attorneys. This role is ideal for a motivated professional who excels at managing complex administrative work, takes initiative, and brings structure to a fast‑paced legal environment.

OA serves as the managerial and administrative arm of Missouri state government, providing customer‑focused support to all state agencies. Within OA, the Office of the General Counsel plays a critical role, offering solution‑driven legal guidance across diverse areas including budget, IT, facilities, and human resources. The position offers broad exposure to legal and governmental operations and requires exceptional discretion.

The ideal candidate is a self‑starter who can independently manage shifting priorities, streamline office procedures, and support OA’s mission of continuous improvement and operational excellence. This role is essential to helping the legal team advance OA’s forward‑thinking goals.

To ensure seamless coordination across OA’s executive leadership, this position is part of an integrated support team. The Executive Assistant will report to the Executive Assistant to the Commissioner of Administration and also serve as the direct backup for that role, providing unique insight into both OA‑wide and statewide operations.

The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.

  • Manage the calendars for the Deputy Commissioner and Deputy General Counsel. This includes scheduling, prioritizing, resolving conflicts, and preparing leaders for their day by compiling agendas, briefing materials, and relevant documents for all meetings.
  • Coordinate team meetings, manage case files and deadlines, assist with the preparation and formatting of legal filings, and ensure the smooth administrative flow of the office.
  • Provide seamless backup support for the Executive Assistant to the Commissioner of Administration, handling highly confidential matters and ensuring continuity of operations for the agency's primary executive office.
  • Organize and maintain all digital and physical records for the office. You will have the opportunity to design and implement improved systems to modernize the team's record-keeping.
  • Develop and manage robust tracking systems for critical items such as legislative fiscal notes, state contracts, and litigation deadlines, ensuring nothing is missed and all stakeholders are informed.
  • Manage incoming communications via phone and email and direct inquiries with discretion and efficiency.
  • Prepare, proofread, and format a wide range of documents, including official correspondence, legal memos, presentations, and reports, ensuring a high standard of quality and accuracy.
  • Oversee the administrative logistics of the legal office, including managing supplies, processing invoices, and assisting with budget tracking.

Minimum Qualifications

  • High School Diploma or GED.
  • Five years of progressively responsible experience in administrative support roles.

Preferred Qualifications

  • Proven ability to anticipate needs, work independently, and take full accountability for project outcomes.
  • Strong organizational skills required to balance competing priorities from multiple leaders and implement efficient systems.
  • Integrity and reliability in handling highly sensitive, executive-level information.
  • Resourceful problem-solver capable of acting as the central point of contact and support to increase team productivity.
  • Excellent written and verbal communication skills, with the tact to interact effectively with stakeholders at all levels.
  • Demonstrated experience in a demanding administrative or support role where you were responsible for managing multiple priorities.
  • Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience in a legal environment is strongly desired but not required for a candidate with exceptional core abilities.
