The position combines customer-facing responsibilities with strong operational ownership of CRM systems, contracts, and reporting workflows. You will help structure and optimize processes that support complex client engagements in a fast-paced, research-driven setting. Working closely with scientists and commercial teams, you will contribute to improving efficiency, accuracy, and conversion across the sales funnel. Accountabilities

In this role, you will support and optimize the end-to-end sales and client engagement process, ensuring smooth coordination from initial lead through contract execution and onboarding. You will serve as a primary point of contact for clients while maintaining strong internal alignment across business development, scientific, and operational teams. Key responsibilities include:

  • Acting as the main interface for clients during the sales process, ensuring a high-quality and responsive customer experience
  • Managing and maintaining CRM systems (HubSpot), ensuring accurate data capture, pipeline tracking, and reporting integrity
  • Supporting contract workflows including CDAs, MSAs, and work orders, ensuring timely review, version control, and execution
  • Coordinating proposal development by gathering inputs from internal stakeholders and managing timelines and deliverables
  • Producing sales reports, pipeline forecasts, and KPI dashboards to support leadership decision-making
  • Documenting, standardizing, and improving sales operations processes and enabling tools
  • Facilitating internal meetings, including dashboard reviews and business development coordination sessions
  • Ensuring compliance with internal policies and legal requirements across all sales documentation and processes
Requirements

This role requires strong organizational, communication, and operational capabilities, combined with the ability to manage multiple priorities in a detail-driven environment. You should be comfortable working across technical, scientific, and commercial stakeholders while maintaining a high level of service and accuracy. Key qualifications include:

  • 4–6 years of experience in sales operations, client services, business administration, or a related analytical or coordination role
  • Bachelor’s degree in Business, Communications, Operations, or a related field (or equivalent experience)
  • Strong proficiency with CRM systems, ideally HubSpot, and sales automation tools
  • Excellent written and verbal communication skills for both client-facing and internal interactions
  • Strong organizational skills with exceptional attention to detail and follow-through
  • Proven ability to multitask and manage competing priorities in a fast-paced environment
  • Analytical mindset with problem-solving skills and a process improvement orientation
  • Comfort working in or learning scientific and biomedical contexts
  • Strong interpersonal skills and ability to collaborate across diverse teams
