Position OverviewReporting to the Manager, Stewardship & Advancement Operations, the Advancement Associate plays a key role in cultivating and stewarding a diverse community of donors, sponsors, and members. The Associate supports thoughtful and personalized recognition for major donors, campaign supporters, members, and partners, and contributes to a best-in-class stewardship program that deepens relationships and clearly demonstrates impact.The ideal candidate is a collaborative, relationship-focused communicator with strong writing skills and exceptional attention to detail. They are motivated by meaningful donor engagement and are accountable for achieving a defined revenue target through foundation and grant cultivation and grant writing. They thrive in a cross-functional environment, working with colleagues across departments and partnering closely with the Membership Manager & Manager, Campaigns & Individual Giving to deliver communications and recognition initiatives that strengthen engagement and connect supporters to our mission.
Additional responsibilities include supporting Board & Committee meetings, executing stewardship activities throughout the year, and developing compelling foundation proposals that contribute to overall fundraising success.
Key Responsibilities
Fundraising & Donor Pipeline:
- Contribute to all stages of the donor pipeline, including research, identification, cultivation, solicitation, stewardship, and recognition.Draft grant proposals and prepare donor presentations and briefing materials.Work with the Advancement team to leverage data and insights that support retention, prospecting, and reporting.Coordinate donor pledges, invoicing, and reconciliation in partnership with Finance.
Stewardship & Donor Engagement:
Build and maintain strong relationships with donors and members through regular communication, meetings, and participation in events and venue tours.Help deliver an integrated stewardship and recognition program across all giving levels.Develop and coordinate stewardship touchpoints such as impact reports, recognition materials, and stewardship plans.Contribute to the development of tailored recognition strategies for major donors and sponsors.Track stewardship activities, deadlines, metrics, and related expenses to inform continuous improvement.Collaborate across departments to align messaging and strengthen the donor experience.Assist with corporate partnership reporting, renewals, and activation.Board/ Committee Support & Portfolio Management:
- Support Board & Committee meetings, including preparation of materials, follow-up actions, and maintenance of prospect lists.Maintain the foundation grants calendar and support proposal development with the Director, Advancement Group.Manage a portfolio of members and donors with regular, personalized engagement.
Qualifications
3+ years of experience in a fundraising role in a non-profit environment. Post-secondary degree in a related field (such as fundraising, communications, arts administration, or business), or an equivalent combination of education and experience.Experience writing successful grant proposals and applications. Strong written and verbal communication skills, with the ability to assist in preparing donor communications, reports, and proposals.A collaborative and relationship-oriented approach, with a demonstrated ability to engage effectively with colleagues, donors, members, and partners.Experience supporting stewardship activities and coordinating across teams or departments to support donor engagement efforts.Highly organized and detail-focused, with the ability to juggle multiple tasks, meet deadlines, and maintain accuracy.Comfortable using Microsoft Office Suite (Word, Excel, PowerPoint) and willing to learn donor databases such as Tessitura V.16 or other CRM systems.Familiarity with or willingness to learn about Canada Revenue Agency charitable giving guidelines and the AFP Donor Bill of Rights.Passion for music, the performing arts, and the role of philanthropy in supporting education, artist development, and community engagement.Demonstrated commitment to equity, diversity, and inclusion in donor engagement, communications, and relationship building.Core Competencies

Manual dexterity required to use desktop computer and peripherals.Interacts regularly with internal and external industry colleagues by telephone, email, and in-person meetings.Comfort working in both office and facility settings, with the ability to conduct walkthroughs across large-scale, multi-level venues.Willingness to work occasional evenings and weekends for performances, donor events, and stewardship activities.Travel between venues will be required on an ongoing basis.Additional Information (if applicable) : This is a hybrid role based in Toronto with a combination of remote work and on-site presence at Massey Hall, Roy Thomson Hall, and Allied Music Centre. Some evening and weekend availability will be required depending on event schedules.
