The Fleet Coordinator is responsible for coordinating repairs, maintenance, and lifecycle activities for a multi state fleet of approximately 950 vehicles. This role ensures vehicles are safe, compliant, properly outfitted, and returned to service quickly. Responsibilities include repair coordination, safety recalls, vehicle purchases and sales, outfitting, transportation, and vendor management.

$25.00 - $28.00 Per Hour

SCOPE & IMPACT

  • Oversees repair and maintenance coordination for ~950 vehicles across 26 states.
  • Direct impact on vehicle availability, technician readiness, safety compliance, and fleet operating costs.
  • Acts as the primary liaison between vendors (repair shops, body shops, upfitters, towing services) and internal teams.
Requirements:

KEY RESPONSIBILITIES

Repairs & Maintenance

  • Review, approve, and coordinate mechanical and collision repair estimates.
  • Track repair status, follow up with vendors, and minimize vehicle downtime.
  • Arrange towing and transport for repairs or maintenance.
  • Resolve repair related invoice discrepancies and maintain accurate records.

Safety & Compliance

  • Manage all vehicle safety recalls and ensure timely completion.
  • Escalate safety critical issues and remove unsafe vehicles from service.

Vehicle Lifecycle (Purchase & Sale)

  • Execute purchases of new and used vehicles per approved specifications.
  • Coordinate sale, trade in, or disposal of vehicles and required documentation.

Outfitting & Deployment

  • Coordinate vehicle outfitting/upfitting to company standards.
  • Ensure vehicles are fully equipped and ready prior to deployment.
  • Support annual outfitting of new vehicles.

Transportation & Logistics

  • Coordinate vehicle transport across service areas, including towing.
  • Organize vehicle movement with warehouse and field teams.

Vendor & Internal Coordination

  • Communicate with mechanics, body shops, and upfit vendors via phone and email.
  • Develop and maintain vendor coverage in local and rural markets.
  • Coordinate with operations, field supervisors, and warehouse teams on vehicle availability.
  • Manage unassigned vehicles at the Fridley Warehouse to ensure readiness.

Documentation & Reporting

  • Maintain accurate fleet records, repair history, and status updates.
  • Provide reporting on repairs, downtime, and outstanding work.

QUALIFICATIONS

  • 2+ years of experience in fleet coordination, vehicle repairs, or logistics.
  • Strong computer skills and ability to manage multiple priorities.
  • Clear written and verbal communication skills.
  • Working knowledge of vehicle repairs and vendor coordination.
  • Valid driver’s license.

KNOWLEDGE, SKILLS & ABILITIES

  • Working knowledge of vehicle repairs (mechanical and collision).
  • Strong organization, follow through, and time management skills.
  • Clear written and verbal communication.
  • Ability to manage multiple priorities with minimal supervision.
  • Strong computer skills; ability to work within fleet management systems.

  • High safety recall completion rates.
  • Vehicles consistently ready for technician deployment.
  • Accurate records, clean audits, and strong vendor performance.
