About This Position

Purpose of Position:
Provide administrative secretarial support and perform clerical work for the Planning and Zoning Department.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other
duties may be required and assigned.
  • Performing bookkeeping/financial activities associated with administrative support duties including maintaining expense/revenue ledgers for the department.
  • Performing preliminary review of permits and applications submitted to the department for errors, omissions and accuracy.
  • Verifying legal descriptions and interpreting legal descriptions based on the Public Land Survey System.
  • Researching property ownership through software.
  • Researching ownership of parcels using register of deeds documents.
  • Manage revenue accounts, voucher payments, and petty cash fund.
  • Performs data entry and generates periodic reports for sanitary permit and maintenance records.
  • Organize information, files and records based on name, legal description, address, and/or parcel identification number.
  • Contributing to the processing and documentation of rural emergency addresses with other department employees.
  • Attend meetings and hearings and record minutes of proceedings.
  • Draft legal notices meeting the statutory requirements for public information meetings etc.
  • Makes appointments for department head and other staff. Arranges meetings and conferences.
  • Performs other administrative/clerical tasks such photocopying, opening and distributing mail, compiling documents and information for presentations.
  • Inventory and requisition office supplies.
  • Design forms, newsletters, brochures and other department documents.
  • Create scaled maps for customers using the GIS webpage.
  • Explain use of county GIS webpage to users.
  • Must have typing ability of at least 50 words per minute.
  • Communicating with the general public and staff members in general ordinance administration under the direction and guidance of the department administrator.
  • Attends meetings, conferences, seminars, and educational training as required by the department administrator

Minimum Training and Experience Required to Perform Essential Job Functions
A Technical Diploma or Certificate from an accredited post-secondary institution and a minimum of two years’ administrative support experience is required. In evaluating candidates for this position, the County may consider a combination of education, training and experience which provides the necessary knowledge, skills and abilities to
perform the duties of the position.
