POSITION TITLE: DEVELOPMENT COORDINATOR

REPORTS TO: SENIOR DIRECTOR OF DEVELOPMENT

SUMMARY OF POSITION

The Development Coordinator is a key member of the Development team, providing high-level administrative, operational, and donor engagement support to advance Bergen Family Center’s fundraising efforts. This role ensures the Senior Director of Development is fully supported in donor cultivation, events, and strategic initiatives while maintaining strong data integrity across all development systems.

This position is both execution-focused and relationship-driven, blending operational excellence with donor communications, CRM and database management, event coordination, and volunteer engagement. The Coordinator plays a critical role in ensuring seamless execution of development activities, accurate tracking of donor information, and consistent stewardship of supporters.

In addition, this role leads volunteer coordination efforts, cultivating relationships that strengthen engagement and support long-term donor pipeline development, contributing directly to the organization’s fundraising capacity and sustainability.

QUALIFICATIONS

  • Associate’s or Bachelor’s degree in Communications, Nonprofit Management, Business Administration, or related field preferred
  • 2–4 years of experience in development, fundraising, nonprofit administration, or related work
  • Experience with CRM systems (e.g., Raiser’s Edge, Salesforce, Bloomerang, or similar) preferred
  • Familiarity with gift processing, donor stewardship, or fundraising operations strongly preferred
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism when handling sensitive donor information

SKILLS

  • Strong organizational and time management skills with attention to detail and follow-through
  • Ability to manage competing deadlines and prioritize effectively
  • Strong written communication skills for donor correspondence and internal documentation
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Experience with CRM systems and donor databases
  • Familiarity with email marketing and design tools (e.g., Constant Contact, Canva, Adobe Creative Suite)
  • Strong interpersonal skills with a relationship-building and customer-service mindset
  • Ability to work independently while collaborating across teams
  • Problem-solving mindset with a focus on operational efficiency

RESPONSIBILITIES

Executive & Administrative Support

  • Manage and optimize the Senior Director of Development’s calendar, including donor meetings and cultivation activities
  • Coordinate scheduling for donor visits, internal meetings, and development events
  • Prepare briefing materials including donor backgrounds, giving history, and talking points
  • Track follow-ups and ensure timely completion of action items
  • Provide general administrative and coordination support to the Development team

Donor Database & Communications

  • Maintain accurate donor records within the CRM system
  • Track gift processing, donor engagement, and pipeline activity
  • Generate reports and dashboards to support fundraising strategy
  • Draft and coordinate donor correspondence, including acknowledgment letters and campaign communications
  • Support data cleanup, segmentation, and system maintenance

Fundraising Events & Campaigns

  • Support planning and execution of fundraising events, including the annual Gala
  • Coordinate event logistics, vendor communication, and attendee tracking
  • Manage event promotion, save-the-dates, invitations, and related materials
  • Coordinate journal advertisements and sponsorship deliverables
  • Track and reconcile pledges, donations, and payments related to events and campaigns

Volunteer Engagement & Pipeline Development

  • Coordinate volunteer recruitment, scheduling, and communication
  • Build and maintain strong volunteer relationships to support engagement and retention
  • Identify opportunities to cultivate volunteers into prospective donors in collaboration with the Development team
  • Track volunteer activity to support donor pipeline development

SCHEDULE & STATUS

  • Full-Time, 40 hours per week
  • FLSA Status: Non-exempt
