About This Position

Position Details

We are looking for a Project Accounting Coordinator to join our Victoria office. In this role, you will be responsible for managing A/R and work-in-progress (WIP) accounts, overseeing expenses, supporting month-end processes, and handling project disbursements through accurate coding. This role plays a key part in ensuring the financial accuracy and efficiency of the company’s operations.

Key Responsibilities

Accounts Receivable & Work-in-Progress (WIP):

  • Monitor and manage A/R and WIP to ensure timely and accurate invoicing and collections.
  • Reconcile A/R and WIP accounts, resolving discrepancies as needed.
  • Work closely with project managers and other departments to ensure accurate billing and revenue recognition.
  • Perform regular Accounts Receivable overviews, including the generation of Statement of Accounts to be handed over to the administrative team for follow-up on overdue invoices.

Bank Reconciliations & Recording Remittances:

  • Perform monthly bank reconciliations for all corporate operating accounts, identifying and resolving any outstanding items or discrepancies.
  • Monitor bank balances and assist with cash flow reporting for the Financial Controller.
  • Assist with cash flow forecasting and other financial analysis.

Invoicing Process Support:

  • Assist in the preparation and review of client invoices to ensure accuracy and compliance with project agreements.
  • Coordinate with project managers to ensure timely and accurate billing.
  • Resolve discrepancies and ensure the smooth flow of the invoicing process.

Month-End Processes:

  • Support month-end closing activities, including journal entries, reconciliations, and financial reporting.
  • Coordinate with other departments to ensure the completion of necessary reports and reconciliations.

Key Skills

  • Knowledge of project management software and tools.
  • Detail-oriented with strong organizational and analytical skills.
  • Excellent communication skills and ability to work cross-functionally with multiple departments.
  • Skilled in communication and reaching out to clients.
  • Ability to gather knowledge of national and local payroll regulations and compliance reporting.
  • Experience at accurately entering, maintaining, and processing information in payroll systems.
  • Self-motivated, well-organized and detail oriented.
  • Ability to prioritize and manage multiple deadlines in a fast-paced environment.
  • Strong interpersonal skills with the ability to establish effective working relationships with clients.
  • Knowledge of the construction / consulting industry is an asset.
